Job Description - Order Management Specialist


We are looking for an Order Management Specialist to support our global sales organizations through accurate order administration, responsive customer service, and close coordination with internal teams. In this role, you will help move customer orders from entry through delivery while supporting on-time performance and an efficient sales process.

Do you enjoy turning complex customer requirements into clear, accurate orders? Are you skilled at coordinating across sales, production, operations, quality, and marketing to keep commitments on track? Can you communicate proactively while managing changing priorities and deadlines? As an Order Management Specialist reporting to the Supply Chain Manager, you will serve as a key contact for assigned customers and sales centers, helping ensure orders are complete, feasible, accurately entered, and delivered as promised. 


 


Which tasks will you perform? 


You will: 



  • Serve as the primary contact for assigned customers and collaborate with Sales Center colleagues to ensure orders are clear and complete. 

  • Review and process purchase orders, determine request feasibility, and enter sales orders with accurate pricing, terms, and order information. 

  • Manage order modifications, expedite requests, delivery quotations, and customer or sales-channel communications regarding order status. 

  • Confirm valid delivery dates promptly and coordinate with internal departments and production staff to support on-time delivery. 

  • Partner with Operations, Quality, Marketing, and production teams to address customer requests, identify delivery-delay root causes, and manage past-due recovery. 

  • Support production and capacity planning activities while escalating risks and initiating meetings with sales organizations, subject matter experts, and customers when needed. 

  • Provide high-quality sales support throughout the sales process and use Microsoft Teams, phone systems, SAP or other ERP systems, and Salesforce effectively. 

  • Participate in continuous improvement projects and contribute ideas that improve order management and customer service processes. 


 


What do we expect from you? 


You: 



  • Have at least two years of related experience in a manufacturing environment, including proven sales support experience; an associate degree from a two-year college or technical school is preferred. 

  • Bring intermediate proficiency with Microsoft Office and ERP systems; SAP experience is preferred, and familiarity with Salesforce is beneficial. 

  • Understand manufacturing processes and concepts and can work effectively across functions to build alignment and resolve issues. 

  • Communicate clearly and professionally in writing and verbally, with a strong customer-service mindset. 

  • Are highly accurate, reliable, organized, and able to manage peak workloads while meeting deadlines. 

  • Work well as part of a team, navigate conflict constructively, and persuasively influence outcomes when needed. 

  • Demonstrate integrity, respect for others, energy, creativity, and a results-oriented approach. 

  • Are able to travel rarely, including internationally.
