Job Summary
The Intake & Outreach Coordinator will support prospective and current client families throughout the enrollment process and help connect them with available resources, including insurance options and grant opportunities. This position also plays a critical role in community outreach, referral development, and relationship building with healthcare providers, schools, daycares, and other community organizations.
This role requires regular travel between Rise Up For Autism's clinic locations in Chicago, Tinley Park, Joliet, and Aurora, as well as visits to referral sources and community partners throughout the service area.
Duties and Responsibilities
- Explain ABA therapy services and the benefits of enrolling in Rise Up For Autism's programs.
- Serve as the primary point of contact for prospective families seeking services.
- Assist families with inquiries regarding services, admissions procedures, and insurance coverage.
- Manage client admissions, onboarding, and intake processes.
- Schedule and coordinate tours, evaluations, and intake appointments.
- Organize, maintain, and enter client information into company databases and systems.
- Communicate professionally and effectively through phone, email, virtual meetings, and in-person interactions.
- Conduct virtual and in-person meetings with prospective and current families.
- Coordinate with clinical and administrative teams regarding intake timelines and important events.
- Maintain knowledge of accepted insurance plans and available funding resources.
- Verify insurance eligibility and benefits for ABA services.
- Assist families during ACA Open Enrollment and provide guidance regarding insurance options.
- Research and assist families with grant opportunities and funding resources when applicable.
- Understand eligibility requirements for grants and assist families with the application process.
- Build and maintain relationships with pediatricians, therapists, schools, daycares, hospitals, and community organizations.
- Conduct outreach visits, presentations, and lunch-and-learn events to increase awareness of Rise Up For Autism services.
- Distribute marketing materials and maintain referral relationships.
- Travel regularly between our Chicago, Tinley Park, Joliet, and Aurora locations, as well as community partner sites.
- Track outreach activities, referral sources, and enrollment metrics.
- Provide exceptional customer service to families, referral sources, and internal team members.
- Perform other duties as assigned.
Minimum Qualifications
- Bilingual in English and Spanish required.
- Bachelor's degree preferred.
- Minimum of 1–2 years of experience in healthcare, behavioral health, outreach, admissions, customer service, case management, or a related field.
- Previous knowledge or experience in ABA services preferred.
- Strong verbal and written communication skills.
- Excellent organizational, multitasking, and interpersonal skills.
- Ability to work independently and collaboratively within a team environment.
- Ability to handle difficult or unexpected situations professionally.
- Proficiency with Microsoft Office applications and database management systems.
- Knowledge of insurance terminology, including deductibles, copays, and premiums preferred.
- Valid driver's license and reliable transportation required.
- Ability and willingness to travel regularly throughout the service area.

- Experience working with families of children with autism or developmental disabilities.
- Knowledge of Medicaid, ACA insurance plans, and community resources.
- Experience with grant research, grant writing, or funding assistance programs.

Bonus Structure
This position is eligible for a performance-based bonus program. Bonuses may be awarded based on successful client enrollments, referral development, outreach achievements, and overall contribution to organizational growth. Specific bonus criteria and payout schedules will be discussed during the hiring process.
