Manages the area clinic’s processes and resources to ensure alignment with the mission, vision, values and objectives of an OA and the organization. Checking patients in/out, collecting copayments and outstanding balances. Confirming proper documentation is in EMR patient charts. Answering phone calls from all sources. Obtaining required documentation to properly process patient care.
Essential Functions for Patient Care Coordinator,
• Learn and manage day to day intake operations, culture, processes, and communication of the CLINIC.
• Compassionately communicate, mediate, investigate, and document patient and guest complaints and grievances, working towards timely, and satisfactory resolution.
• Understands and explains company policies and procedures in response to patient complaints/grievances.
• Learn and become proficient in the EMR and all patient intake steps and processes within 90 days.
• Obtain, in a timely manner, all documents, verifications, authorizations, and appointments.
• Document all completed tasks in the EMR.
• Effectively and politely communicate with all sources to maintain effective patient care, customer service, and
required documentation.
• Communicate any timeline inefficiencies to practitioners and management.
Other Functions
• Regularly analyzes patient care data and reports to provide effective patient care and recall.
• Resourceful team player who excels at building trusting relationships with patients, referral sources, and colleagues.
• Participates in process improvement efforts aimed at improving operations and the patient and family experience.
• Within scope of job, requires critical thinking skills, decisive judgement and the ability to work with minimal supervision. Must be able to work in a fast-paced environment and take appropriate action.
• Learn and manage daily workflow management, registering new patients, insurance authorizations, scanning documents on time and securing all prescriptions, medical notes, and other documents from Physician’s, Hospitals, physical therapist etc. as required by Medicare, Medicaid, and our policies and procedures. We use OPIE and ABC best practices.
• Ensure compliance with Medicare, Medicaid, and other insurance companies.
• Ensure and maintain Practitioner compliance for proper documentation in OPIE.
• Scheduling of all patients in EMR in a timely manner.
• Accounts Receivable management and review to assist billing and collections team.
• Learn policies and procedures based on Insurance and other regulatory authorities.
• Ensure HIPPA Compliance, Confidentiality etc.
Advise management about the state of the affair of the office.
• Advise and execute growth and positive culture in the company.
• Work with Other OAs, practitioners, management, and to make sure all the delivered patients are being billed and collections is happening on time.
• Provide various daily, weekly and monthly reports to management on different activities of the company.
• Participate in training programs for compliance, billing, collections, professional seminars etc.
• Requires travel to other locations for meetings and learning.
• Carry out any other task assigned by the management pertaining to the company.
• Ensure office esthetics, organization, and cleanliness to uphold company brand and value. Provide exceptional customer service.
• Ensure proper ordering of components/devices and getting them on time with proper follow up.
• Managing and distributing incoming and outgoing correspondence, such as emails, letters, and packages.
• Other duties, expectations, and responsibilities as assigned.
