SUMMARY
The Payroll & Compliance Specialist plays a critical role in ensuring accurate, timely, and compliant payroll processing across Titanium Healthcare. This position is responsible for supporting payroll administration, timekeeping review, audit readiness, payroll corrections, and employee pay support while helping strengthen wage-and-hour compliance practices throughout the organization.
This role will serve as a key operational partner between people operations, leaders, employees, and finance, with a strong focus on timecard accuracy, documentation, reporting, and payroll process integrity. The ideal candidate is highly detail-oriented, organized, comfortable managing large amounts of data, and confident navigating sensitive payroll and compliance matters in a fast-paced healthcare environment.
WHERE YOU’LL WORK
This position is hybrid. Work from home and come onsite to the main office located in Garden Grove. Standard business hours are Monday through Friday from 8:00 am to 5:00 pm.
WHAT YOU’LL DO
Payroll Processing & Administration
- Process and support semi-monthly payroll activities for approximately 300 employees across multiple programs and departments
- Review payroll data for accuracy, completeness, and compliance prior to payroll submission
- Audit timecards, missed punches, premium pay, overtime, retro pay, and pay adjustments
- Ensure payroll changes are supported by proper documentation and approvals
- Coordinate payroll timelines and communicate deadlines to leaders and employees
- Assist with payroll corrections, voids, reversals, and off-cycle payments as needed
- Maintain accurate payroll records and audit trails
Payroll Compliance & Timekeeping Oversight
- Review timecard edits and correction requests for compliance with company policy and California wage-and-hour requirements
- Monitor patterns involving missed meals, overtime, rounding concerns, undocumented edits, and schedule reconstruction
- Partner with leaders to resolve payroll discrepancies before payroll processing deadlines
- Support internal payroll audits and compliance reviews
- Help maintain defensible payroll documentation and reporting practices during audits, investigations, or legal reviews
- Track and escalate recurring payroll or timekeeping issues to leadership
Reporting & Data Management
- Prepare recurring payroll, overtime, and timekeeping reports for leadership review
- Assist with payroll-related data analysis and trend tracking
- Maintain payroll files, records, and system documentation
- Support reconciliation activities between payroll, HRIS, and benefit systems
Systems & Process Improvement
- Assist with implementation and stabilization of future payroll and timekeeping platforms
- Identify opportunities to improve payroll workflows, controls, and reporting accuracy
- Help develop and maintain payroll procedures, job aids, and manager guidance materials
- Participate in Finance/People Operations and cross-functional process improvement initiatives
- Contribute to other People Operations initiatives as needed to support organizational goals

WHAT YOU’LL NEED
- High school diploma/GED required, associate degree preferred
- Minimum 3+ years of payroll processing or payroll administration experience
- Strong understanding of payroll practices, wage-and-hour compliance, and timekeeping processes
- Experience reviewing timecards, payroll audits, and payroll corrections
- Experience with HRIS, payroll, and timekeeping systems

NICE TO HAVES
- Bachelor’s degree in accounting, finance, business administration, human resources, or another related field
- Certified Payroll Professional (CPP) or Fundamental Payroll Certification (FPC)
- Experience processing payroll in California strongly preferred
- Healthcare, multi-site, or high-growth organization experience
- Experience supporting payroll audits, wage-and-hour compliance reviews, or multi-site healthcare operations
- Advanced Excel skills, including pivot tables, lookups, and payroll data analysis
- Experience with payroll implementations or system transitions
- Experience with BambooHR or other similar HRIS/payroll systems
