Job Description - Payroll Executive













About the Role


We are seeking a detail-oriented Payroll Executive (Time & Attendance Compliance) to support the accuracy and integrity of payroll data across a growing salon network. This role is responsible for proactively verifying daily attendance records, confirming timesheet accuracy, and ensuring compliance with payroll policies and employment requirements before payroll processing.


You will play a key role in maintaining payroll accuracy by working closely with salon managers and team members, identifying discrepancies, and ensuring all time and attendance records are complete, compliant, and submitted within required deadlines.

Ideal Profile


Experience & Technical Skills



  • Previous experience in payroll, administration, workforce management, or time and attendance systems is highly regarded

  • Understanding of payroll processes, attendance tracking, and workforce compliance requirements

  • High level of accuracy with exceptional attention to detail

  • Ability to manage multiple priorities while meeting strict deadlines

  • Strong organisational, analytical, and problem-solving skills

  • Experience working within a multi-site or retail/service-based environment is advantageous


Communication & Interpersonal Skills



  • Confident and professional telephone communication skills

  • Ability to build positive working relationships with salon managers and operational teams

  • Strong follow-up and stakeholder management capabilities

  • Able to communicate compliance requirements clearly and professionally

Responsibilities


Daily Time & Attendance Verification



  • Conduct daily follow-up calls with salon managers and team members to verify attendance records

  • Confirm the accuracy of clock-in and clock-out times

  • Verify the correct recording of meal and rest breaks

  • Identify and resolve missing, incomplete, or inaccurate timesheet entries

  • Ensure all timesheets are reviewed, verified, and finalised within required daily deadlines


Payroll Accuracy & Compliance



  • Review timesheets and attendance data to identify discrepancies prior to payroll processing

  • Ensure compliance with applicable employment agreements, workplace policies, and payroll requirements

  • Monitor adherence to break and attendance obligations

  • Escalate unresolved issues and recurring compliance concerns to management


Communication & Follow-Up



  • Maintain regular and professional communication with salon teams across multiple locations

  • Develop strong working relationships with salon managers to promote compliance and accountability

  • Follow up promptly on outstanding information to prevent payroll delays and inaccuracies


Record Keeping & Reporting



  • Maintain accurate records of timesheet reviews, corrections, and follow-up activities

  • Track recurring issues and identify trends impacting payroll accuracy

  • Assist with reporting related to payroll compliance, attendance, and data accuracy


Process Improvement



  • Identify opportunities to improve timekeeping accuracy and compliance behaviours

  • Support the implementation of improved processes, systems, and training initiatives

  • Contribute to continuous improvement efforts that enhance payroll efficiency and accuracy
