Job Description - Pharmacy Liaison


    

The Part-Time Pharmacy Liaison serves as the primary point of contact between the treatment facility and community pharmacies to ensure the timely, accurate, and secure procurement of patient medications. This position is responsible for handling prescription medications, including controlled substances, while maintaining strict chain-of-custody procedures and ensuring compliance with all applicable DEA, HIPAA, state, and organizational regulations. The Pharmacy Liaison works closely with nursing, medical providers, and facility leadership to support safe medication management and continuity of patient care.

Responsibilities

  • Retrieve patient prescriptions from community pharmacies in a timely and professional manner.
  • Verify the accuracy of all prescriptions by confirming the correct patient, medication, dosage, quantity, strength, prescribing provider, and pharmacy labeling before transporting medications to the facility.
  • Maintain a documented chain of custody for all medications from the time they are received from the pharmacy until they are delivered to the designated licensed staff at the facility.
  • Safely transport prescription medications in accordance with company policy and all applicable federal and state regulations.
  • Handle controlled substances with heightened attention to security, accountability, and documentation.
  • Immediately report any discrepancies involving medication counts, labeling, damaged packaging, missing medications, or suspected diversion to nursing leadership and management.
  • Ensure controlled substance counts are accurate upon receipt and participate in reconciliation processes when necessary.
  • Communicate proactively with pharmacies, medical providers, nursing staff, and management regarding prescription status, medication availability, insurance issues, prior authorizations, refill requests, and medication shortages.
  • Monitor medication pricing and identify cost-effective alternatives, including generic substitutions or preferred pharmacy options, while collaborating with the medical team to ensure clinical appropriateness.
  • Maintain professional relationships with community pharmacies to facilitate efficient service and timely resolution of medication-related concerns.
  • Complete all required logs, receipts, transportation records, and medication documentation accurately and promptly.
  • Protect all patient health information and maintain strict compliance with HIPAA privacy and confidentiality standards.
  • Comply with all applicable DEA regulations, state pharmacy laws, facility policies, accreditation standards, and medication handling procedures.
  • Report any suspected medication errors, diversion, theft, loss of controlled substances, or compliance concerns immediately to the appropriate supervisor.
  • Perform other duties as assigned to support the medical department and ensure continuity of patient care.

Requirements

  • High school diploma or equivalent required; healthcare-related experience preferred.
  • Valid driver’s license with an acceptable driving record and reliable transportation.
  • Previous experience in healthcare, pharmacy, behavioral health, or substance use treatment is preferred.
  • Strong attention to detail and ability to accurately verify medication information.
  • Excellent organizational, communication, and time management skills.
  • Ability to work independently while maintaining accountability and confidentiality.
  • Ability to understand and follow policies related to medication handling, controlled substances, and regulatory compliance.

Required Knowledge and Competencies

  • Knowledge of HIPAA privacy and confidentiality requirements.
  • Understanding of DEA regulations and best practices for handling-controlled substances.
  • Ability to maintain secure chain-of-custody documentation for medications.
  • Strong ethical standards and commitment to preventing medication diversion.
  • Excellent problem-solving and communication skills.
  • High degree of accuracy, accountability, and professionalism.
  • Ability to prioritize multiple tasks in a fast-paced healthcare environment.

Pay

  • $17.00 per hour
