ESSENTIAL FUNCTIONS:

  1. Provides office support functions for a variety of computer operations which include: forms, data entry, filing, scanning and reports

  2. Processes outgoing mail and distributes mail daily to staff

  3. Maintain the general appearance of the front office, reception and waiting areas

  4. Provides reception services by interacting with the public, employees, and other individuals to answer questions regarding departmental programs and services and/or refers clients to appropriate staff or agency; provides appropriate forms/applications or other requested materials; reviews submitted forms/applications for completeness and compliance with applicable rules and regulations; informs clients of any discrepancies and/or further action required; routes accepted materials to appropriate personnel

  5. Inventories and orders office supplies, materials and agency forms

  6. Provides public with necessary meeting notices

  7. Prepares case files and reviews closed files for completeness

  8. Performs basic cash handling tasks and transactions 

  9. Prepares, researches, analyzes, and organizes information to produce a variety of documents, reports, informational materials, statistics, or other materials for the department

  10. Creates, updates, and maintains a variety of spreadsheets, databases, and applications

  11. Coordinates registration for staff attending conferences or training

  12. Enter electronic service authorizations for claims processing 

  13. Research and work with vendors for quotes on purchase requisitions

  14. Prepare, enter and track purchase orders and requisitions in to electronic system 

REQUIRED EDUCATION, EXPERIENCE, TRAINING, AND CERTIFICATION: 

  1. High School diploma

  2. A minimum of 1 years of work experience in administrative functions; or a minimum of 1 year in a customer service environment; or an associates' degree in a related clerical field

  3. Valid driver's license and the ability to travel between work locations

  4. Prior to hire, a background check including criminal record history will be conducted. Information from the background check will not necessarily preclude employment but will be considered in determining the applicant's suitability and competence to perform in the position.

OTHER REQUIREMENTS:

  1. Access to a motor vehicle

  2. A minimum of $250,000/$500,000 auto liability insurance coverage verified upon hire and at renewal by providing a copy of the declaration page of your policy from your insurance carrier.
