Job Summary:

The Program Coordinator manages and administers operational and programmatic functions for the Linde Packman Lab, a high-impact, student-centered biosciences program focused on experiential learning, internships, student engagement, and partnership development. This position is responsible for coordinating complex program activities (including coordinating the Colby Achievement Program in the Sciences and Pulver Science Scholars Program), administering operational processes, supporting student engagement initiatives, and ensuring the effective execution of courses, events, partnerships, and internship experiences.

Working closely with Lab leadership, faculty, students, and external partners, the Program Coordinator exercises independent judgment in prioritizing operational needs, managing concurrent projects, resolving program related issues, and coordinating activities in a fast-paced  and highly collaborative environment.  The role contributes to the development and continuous improvement of operational systems and administrative processes that support the Lab’s strategic and programmatic goals.

Program Administration and Student Engagement

  • Administer and coordinate operational processes supporting on-campus academic-year and summer STEM programs, internships, courses, advising activities, and student engagement initiatives

  • Manage communications related to student participation, onboarding, deadlines, and program requirements

  • Maintain and analyze participation data, applications, placements, and program outcomes

  • Exercise independent judgment in responding to student needs, prioritizing requests, and resolving operational issues related to program participation

  • Coordinate implementation of student programming and ensure alignment with operational timelines and program objectives

Event, Partnership, and Community Programming Coordination

  • Coordinate and oversee logistics for workshops, guest speakers, community events, dinners, and other engagement activities

  • Administer event registration, scheduling, communications, and participation processes

  • Coordinate logistics and communications for institutional and community partnerships supporting Lab initiatives

  • Schedule partner meetings and support coordination of internship placements and collaborative activities

  • Collaborate with campus departments and external organizations to support programming and partnership engagement efforts

Administrative Operations and Systems Management

  • Coordinate scheduling and operational planning for Lab leadership, meetings, and program activities

  • Develop and maintain organized operational systems, records, databases, and documentation processes

  • Coordinate purchasing and resource management for program operations and events

  • Support maintenance of the Lab website, Moodle platform, and related operational systems

  • Monitor operational workflows and independently prioritize competing administrative and programmatic needs

Financial Administration and Reporting

  • Monitor and track expense associated with internships, events, and program activities

  • Coordinate administrative processes related to stipends, reimbursements, and budget transactions

  • Compile and organize information for annual reports, donor materials, program assessments, and operational reporting

  • Track and evaluate metrics related to student engagement, internships, partnerships, and program participation

  • Coordinate with Finance and Sponsored Programs offices to support compliance with institutional procedures and budget guidelines

Operational Support and Continuous Improvement

  • Respond to time sensitive operational and student issues, including support related to housing, travel, scheduling, and program participation

  • Exercise judgment in prioritizing urgent matters and coordinating responses with Lab leadership and campus partners

  • Recommend    and implement process improvements to enhance operational efficiency and student experience

  • Participate in departmental meetings and collaborate initiatives

Position Qualifications 

Education and/or experience:

  • Bachelor’s degree required or an equivalent combination of education and relevant experience

  • 2+ years of administrative, operational, program coordination, or student support experience

  • Experience in higher education, student programming, nonprofit operations, or event coordination preferred

  • Strong organizational, administrative, and multitasking skills

  • Excellent written, verbal, and interpersonal communication skills

  • Ability to exercise independent judgment and manage multiple priorities in a fast-paced environment

  • Strong attention to detail and ability to maintain accurate records and operational systems

  • Ability to handle confidential and sensitive information with discretion

  • Demonstrated problem solving and operational coordination skills

  • Ability to work independently while contributing effectively within a collaborative team environment

  • Proficiency with Microsoft Office and/or Google Workspace

  • Familiarity with databases, CRM systems, learning management systems, or related technology platforms preferred

  • Interest in STEM education, experiential learning, or program administration preferred

Additional Information

  • This position may require occasional evening or weekend hours in support of programs and events

  • This position includes regular movement throughout office spaces, hallways, meeting rooms, and other campus locations.

  • Daily work may involve extended use of a computer, including keyboard and mouse

  • Physical requirements differ by position. In general, most roles involve lifting up to 10 pounds regularly, with some positions requiring occasional lifting of up to 35 pounds or, in more physically demanding roles, up to 50 pounds.

  • Vision requirements for this position include the ability to see clearly at close and far distances and to adjust focus as needed.

  • The work environment is dynamic and engaging, often involving multiple tasks and projects that require shifting focus and strong organizational skills.

  • The noise level is generally moderate; however, there may be occasional moments of louder  sounds depending on campus activity.
