Job Description
Purpose:
The Program Specialist I, reports to Associate Director while also providing support to other efforts of the unit. The Program Specialist will provide support for four main areas:
1) Supporting the Marketing and implementation of Student Programs with International Partners. This includes incoming and outgoing students for the Reciprocal Exchange Education program; incoming and outgoing students for the International Internship Program; and outgoing students with direct enrollment partners
2) Oversee Global Ambassador Program
3) Serve as Teaching Assistant for International Internship 484 Course
4) Supporting the unit with administrative and logistical arrangements (events, visits and office management)
Responsibilities:
Support the Marketing and implementation of Student Programs with International Partners (65%): Incoming and Outgoing students for the Reciprocal Exchange Education program; incoming and outgoing for the International Internship Program; and outgoing students with direct enrollment partners. This includes advising and follow-up with all potential students regarding VIA applications and programs of interest in our designated areas (Exchanges, Internships). Handles full recruiting cycle to all eligible engineering students to maximize the number of students participating in these programs.
Work alongside the other Program Specialist I in the office, to coordinate and oversee the Global Ambassador program. Including recruiting, maintaining, and leading the ambassadors throughout their complete term. (10%)
Reports to the Associate Director on the management of the database and providing quarterly reports (5%)
Serve as the Teaching Assistant for International Internship 484 Course (Summer & Fall semester) for all returning international interns. This involves managing the CANVAS page, collecting deliverables/course assignments, inputting grades, scheduling visitor presentations, and guiding discussions in the classroom (10%)
Support Administrative and logistical arrangements (10%): This includes scheduling appointments, organizing meetings, maintaining calendars, organizing logistics of meetings and events, writing meeting minutes and reports as needed.
Assists in planning, developing, implementing, coordinating, and monitoring programs and committee meetings.
Assists in the development of special reports, and databases related to the office operations. Support the coordination of logistics for campus visits including itineraries, local travel arrangements, reservations and other logistics for international guests and employees traveling to Texas A&M University.
Other Duties include: Providing support to administrative and programmatic support to Halliburton Engineering Global Programs; Providing support to on-going initiatives; Supervising the work of assigned program staff or students, and performing other related duties as requested by the associate director and programs specialist II.
Occasional evening and weekends required
What is needed:
Bachelor’s degree in applicable field or equivalent combination of education and experience.
Knowledge, Skills, and Abilities:
Knowledge of word processing and spreadsheet applications.
Ability to multitask and work cooperatively with others.
Excellent verbal and written communication skills.
Strong interpersonal, organizational, and customer service skills.
Maintains attention to detail and utilizes sound judgment.
