Job Title: Quality Control Specialist – Title & Escrow

Position Summary
The Quality Control Specialist is responsible for performing pre-closing reviews of real estate escrow and closing files to ensure full compliance with Texas Department of Insurance (TDI) regulations, American Land Title Association (ALTA) Best Practices, and internal company operating procedures. This role acts as the final line of defense before closing — identifying errors, compliance gaps, and process deviations that could expose the company, its clients, or underwriters to risk. The ideal candidate brings deep, hands-on Texas escrow experience and a sharp eye for detail under deadline pressure.
Key Responsibilities
- Conduct comprehensive pre-closing audits of escrow/closing files, including title commitments, closing disclosures (CDs), settlement statements, lender instructions, and recorded documents
- Verify compliance with TDI rules, rate rules, and promulgated forms requirements
- Confirm adherence to ALTA Best Practices, including privacy/data security, escrow accounting controls, and document custody standards
- Cross-check internal operations checklists and workflow steps to ensure consistency across offices/branches
- Identify discrepancies in legal descriptions, vesting, lien releases, payoffs, proration calculations, and signatures/notarizations
- Flag missing or incomplete documentation and route files back to the responsible Escrow Officer with clear, actionable feedback
- Track recurring errors or process breakdowns and report trends to management for training or procedural updates
- Maintain detailed QC logs/audit trails for each file reviewed
- Stay current on changes to TDI regulations, ALTA Best Practices, and underwriter requirements, and help update internal QC checklists accordingly
- Partner with Escrow Officers, Title Examiners, and Branch Managers to resolve issues quickly without delaying closing timelines
- Support audits (internal or underwriter-driven) by providing documentation and QC history as needed
Required Qualifications
- Minimum 5 years of experience as a licensed Texas Escrow Officer, with direct, hands-on closing/escrow file experience
- Active Texas Escrow Officer license (or eligibility to reinstate/transfer)
- Strong working knowledge of TDI regulations and ALTA Best Practices
- Demonstrated experience with settlement statements, CDs, title commitments, and closing documentation
- High attention to detail with strong analytical and problem-solving skills
- Ability to work independently, manage a high file volume, and meet tight deadlines
- Excellent written communication skills for providing clear feedback to Escrow Officers
- Proficiency with title production software (e.g., ResWare, SoftPro, or similar) and Microsoft Office/Google Workspace
- Must reside within a 4-hour drive of the corporate office in Tyler, TX
Preferred Qualifications
- Prior experience in a Quality Control, Compliance, or Post-Closing role
- Experience working across multiple Texas counties/regions
- Familiarity with multi-branch or multi-entity title operations
