Job Description - Real estate administrator part or full time


Administrative Assistant – Real Estate Management

Busy real estate management company seeking a dependable, organized Administrative Assistant for our Westchester office. This is a full-time, in-office position supporting day-to-day property management operations, tenant communications, repair tracking, and NYC compliance follow-up.

This role is a good fit for someone who is comfortable on the phone, detail-oriented, persistent with follow-up, and able to stay organized in a fast-paced office environment.

Responsibilities

  • Answer and manage high-volume phone calls from tenants, vendors, supers, and management
  • Receive, document, track, and follow up on tenant repair requests
  • Coordinate with building staff, vendors, and managers to ensure repairs are completed
  • Monitor, track, and help resolve NYC HPD violations and related compliance issues
  • Communicate professionally with tenants, vendors, city agencies, and internal staff
  • Maintain organized notes, records, open-item lists, and follow-up logs
  • Follow up consistently on repairs, violations, complaints, and pending issues
  • Assist with general office, administrative, and property management tasks as needed

Qualifications

  • Strong phone, communication, and customer service skills
  • Excellent follow-up skills and attention to detail
  • Organized, reliable, and able to manage multiple open items at once
  • Comfortable working in a busy office with urgent tenant and building issues
  • Proactive problem-solver who can keep tasks moving without constant reminders
  • Prior real estate, property management, or maintenance coordination experience preferred
  • Familiarity with NYC HPD systems, violations, or property compliance a strong plus
  • Bilingual English/Spanish a plus
