Job Summary: The Recruiting Coordinator provides comprehensive support to the Talent Acquisition team across Corporate, Wawa Beverage Center, and Store Operations by managing job postings, interview logistics, candidate travel, and recruitment events to ensure an efficient and engaging candidate and hiring experience.
*We are hiring 2 Recruiting Coordinators, 1 will support Store Operations and 1 will support Corporate
Principal Duties:
- Draft clear and engaging job and event content using established templates, and provide recruiters with ready-to-use materials and support to help them promote open roles effectively.
- Support job advertising efforts by maintaining and updating tracking worksheets for external job distribution platforms, ensuring accurate campaign management and visibility across channels.
- Review campaign data to spot patterns or trends and share observations that may help adjust recruitment marketing efforts.
- Stay aware of new ideas or trends in recruitment marketing and share relevant findings with the team when they may help improve current processes.
- Manage LinkedIn Recruiter licenses and job slot allocation, sends bi-weekly reminders to the team for posting and pinning roles, and handle requests for additional job slots to optimize recruiting visibility.
- Assist with corporate background check process, sending onboarding documents, and New Hire Announcements to hiring leaders providing onboarding hire instructions.
- Schedule and coordinate candidate interviews, managing logistics such as meeting setup, technology needs, and interviewer availability, while preparing and distributing materials to Hiring Managers and candidates, ensuring an exceptional candidate experience.
- As needed, host candidates during onsite interview days; ensure all logistics run smoothly and act as an ambassador of our employer brand and AVP.
- Coordinate and manage candidate travel logistics, including booking transportation and lodging, and oversee the reimbursement process to ensure timely and accurate expense processing in compliance with company policies.
- Coordinate the registration of associates in job fairs, networking events, and other related recruitment activities.
- Respond to Workday Help tickets and conduct regular audits of Help Articles to ensure content accuracy and clarity.
- Maintain content libraries for job descriptions, employer branding assets, outreach templates and additional recruiting related materials
- Maintain and distribute standard reporting, recruiting metrics, and conduct analysis for Recruiting Leadership and Store Ops Regions as requested.
- Manage the associate referral process for WBC hires, coordinating with the Compensation Team to ensure timely payment.
- Perform quality assurance with closed requisitions, ensuring all candidates are appropriately dispositioned in Workday.
- Support the New Store Opening process by proactively recording and adding new store addresses into Workday.
- Support vendor management activities, including contract tracking and invoicing.
- Manage the Talent Acquisition Team’s Outlook account according to agreed-upon service level expectations. Escalate issues as necessary with exceptional follow-through and attention to detail.
- Provide administrative support with projects and new initiatives.

Basic Qualifications:
- Associate’s Degree preferred
- 2 years of experience as Recruiting Coordinator or similar HR role
- Excellent computer and Microsoft Office skills
- Workday Experience is a plus
