WHAT ELSE SHOULD YOU KNOW ABOUT THIS OPPORTUNITY?
As Registration Specialist you’ll support the Meetings team by serving as the primary point of contact for attendees during the meeting/event registration process. You’ll work with the Registration Managers and Program Managers to implement and elevate the services we provide through our preferred meeting technology platform, Cvent. You’ll be the person on the other end of the line responsible for ensuring each meeting attendee or incentive travel program winner gets all their details correct, registered to attend, flights booked, itineraries confirmed, activities chosen, and ultimately, set up for the most incredible and memorable travel experience they’ve ever had. You are the first impression for everything else that will follow in the planning of a meeting or incentive travel program. You will also assist the Program/Meetings Manager(s) with registration reporting and documentation and may, at times, be responsible for building/cloning registration websites as directed.
Here are some specific examples of what you get to do on any given day:
- Serve as liaison between the Client and Cadence for assigned events.
- Ensure data integrity by completing audits as indicated in Cadence’s standard operating procedures.
- Perform all attendee management tasks for assigned events. This includes, but is not limited to, responding to all client and attendee communications in a timely manner and processing change requests.
- Perform all room block management tasks for assigned events. This includes, but is not limited to, communicating with hotels and attendees regarding status of extension and special needs requests, submitting room lists, and communicating with stakeholders regarding room block pickup and potential attrition situations.
- Perform all ground transportation management tasks for assigned events. This includes, but is not limited to, the creation of arrival and departure manifests and communicating changes to the contracted vendor.
- Reconcile final event participation data by updating the registration system with onsite changes to ensure final attendee data is accurate.
- Submit final accounting information as dictated by Cadence standard operating procedures.
- Other responsibilities as assigned.

Requirements:
- Bachelor's degree required, preferably in Hospitality, Communications or Business Administration.
- Minimum two (2) years of experience in the meetings and events industry, with at least one (1) year of room block and transportation management experience.
- Minimum two (2) years Cvent experience, with at least one (1) year working in Cvent Flex.
- Excellent attention to detail with ability to quickly identify, document and correct discrepancies in data.
- Proficiency in Microsoft Office Programs including Word, Excel (including use of macros), and Outlook.
- Ability to work extended hours (evenings and weekends) as required.
- Passion for customer service and travel (approximately 10%-20% travel required).
- Successful execution of Confidentiality and Non-Disclosure agreement with Cadence Travel.
Preferred Qualifications:
- Experience working on incentive and corporate events with more than 500 invitees.
- Cvent Professional Event Management or other Cvent Certification
- Basic knowledge of Cvent registration website builds.
- Basic knowledge of Cvent’s Attendee Hub, SpotMe or other mobile app platforms.
