 Positions Supervised: n/a             Work Schedule: Monday - Friday, 8:30 am - 5:00 pm


 Position Summary


The Plan Deconversion Specialist supports the technical and operational execution of retirement plan exits, deconversions, outgoing transfers, plan terminations, and related asset and record movement activities. This role coordinates and completes assigned conversion-out activities while maintaining accurate records, compliant processing, clear communication, and timely case completion. The position serves as a key point of coordination among clients, successor providers, relationship owners, and internal operational teams by maintaining current case requirements, milestones, risks, status updates, and supporting documentation. Through effective case management, project coordination, and cross-functional collaboration, the Plan Deconversion Specialist helps deliver an orderly transition of plan records and assets from Slavic401k to the receiving provider.


 Essential Functions


·         Review plan documents, deconversion requests, participant records, census information, loans, notices, transfer instructions, successor-provider requirements, and plan-level considerations.


·         Coordinate assigned outgoing plan transfers, deconversions, plan exits, and related asset and record movement activities using established procedures and timelines.


·         Confirm the scope and type of exit, required deliverables, responsible parties, key dependencies, and target transfer dates.


·         Identify missing, inconsistent, or potentially noncompliant information and escalate concerns as appropriate.


·         Research discrepancies and assist with resolving participant record, loan, liquidation, asset, documentation, and transfer-readiness concerns.


·         Manage assigned conversion-out cases and support more complex exits as directed by leadership or senior team members.


·         Track milestones, blackout periods, notice requirements, liquidation activity, outgoing files, transfer instructions, documentation, and issue resolution.


·         Maintain accurate and current case information, including requirements, risks, documentation requests, status updates, owner assignments, and next steps.


·         Prepare, coordinate, and validate outgoing participant records, plan data, reports, and deconversion files required by the successor provider.


·         Support outgoing asset processing, including liquidation coordination, wire or transfer instructions, asset documentation, and related reconciliation activities.


·         Review outgoing files, final reports, participant balances, loan records, liquidation activity, wire details, and accounting support for completeness and accuracy before submission for release or required approval.


·         Reconcile outgoing assets and records, investigate differences, and coordinate necessary follow-up with internal teams, clients, and successor providers.


·         Coordinate the resolution of residual balances, trailing activity, outstanding loans, forfeitures, and other items that may delay final transfer or case closure.


·         Complete and document assigned conversion-out activities in accordance with applicable IRS, ERISA, DOL, plan document, provider, contractual, and internal requirements, and escalate potential exceptions or compliance concerns.


·         Validate notice timing, participant records, transfer documentation, approvals, delivery evidence, and audit-ready support.


·         Document potential compliance, operational, financial, or participant-impact risks, including required follow-up and escalation.


·         Communicate assigned transfer requirements, open items, documented risks, and next steps to clients, successor providers, and internal stakeholders within established communication and escalation guidelines.


·         Partner with Client Relationships, Operations, Compliance, Finance, Trading, Participant Services, and other internal teams to resolve issues and improve exit handoffs.


·         Maintain accurate and timely case notes, task updates, documentation, delivery confirmations, and supporting records in applicable systems.


·         Verify that required records and assets have transferred, document outstanding or trailing items, and complete or recommend operational case closure in accordance with established procedures and approval requirements.


·         Participate in ongoing cross-training across deconversion and conversion processes and provide support for incoming plan transfers, conversions, and related team responsibilities as business needs and workload require.


·         Complete work in accordance with approved SOPs, templates, checklists, quality standards, privacy requirements, and information-security requirements.


·         Handle participant, plan, financial, and transfer data in accordance with applicable privacy, information-security, file-transfer, access-control, and records-retention requirements.


·         Contribute feedback that supports process consistency, workflow improvements, and operational initiatives.


·         Support additional projects, process initiatives, and related responsibilities as business needs and operational priorities evolve.


Skills & Abilities


·         Working knowledge of 401(k) administration, deconversions, outgoing plan transfers, participant records, loans, successor-provider requirements, and asset movement.


·         Ability to interpret plan documents, deconversion requests, participant data, final records, transfer documentation, reports, and deadlines.


·         Ability to prepare and validate outgoing records and files while protecting data accuracy and maintaining appropriate documentation.


·         Ability to identify potential risks, research discrepancies, coordinate resolution, and escalate concerns appropriately.


·         Ability to manage multiple assigned exit cases and clearly document requirements, status, risks, owners, and actions.


·         Ability to distinguish routine processing issues from matters requiring Compliance, Finance, Trading, relationship-owner, or leadership review.


·         Ability to communicate technical requirements and unresolved items clearly to clients, successor providers, and internal partners within established guidelines.


·         Ability to manage sensitive participant and financial data using approved transmission, documentation, and information-security practices.


·         Ability to reconcile plan-level and participant-level records and document differences, resolution steps, and approvals.


·         Ability to prioritize competing deadlines involving notices, liquidation dates, outgoing files, transfers, and residual-asset activity.


·         Strong attention to detail, organization, follow-through, problem-solving, and collaboration skills.


·         Proficiency with Salesforce, Relius, IQ, Excel, Adobe, provider portals, and internal tools.


Experience


·         2-4 years of relevant 401(k), retirement plan administration, recordkeeping, deconversions, plan exits, plan transfers, or related financial services experience preferred.


·         Experience reviewing plan documents, participant data, transfer documentation, outgoing files, asset activity, and final records preferred.


·         Ability to research operational issues, manage multiple priorities, coordinate across teams, and escalate complex concerns appropriately.


·         Experience supporting retirement plan deconversion, termination, or outgoing transfer projects preferred.


Education


·         Bachelor's degree in Business, Finance, Accounting, or related field preferred; equivalent relevant experience accepted.

This role will have a base pay range of $22 to $25 per hour. Please know, this is the base range only and does not consider other components that make up the total rewards package for this role. This position is also eligible for an annual performance bonus.
