We are looking for a highly skilled and detail-oriented GoHighLevel & AI Automation VA to support a long-term client in the construction, architecture, and home services industry.

The ideal candidate has strong hands-on experience with GoHighLevel, AI-powered automation, CRM management, workflows, and lead/pipeline management, along with previous experience supporting a construction, architectural, contracting, or home-services business.

The client already has established SOPs, pipelines, workflows, and processes, so the successful candidate should be comfortable working within an existing system, following established procedures, maintaining CRM accuracy, and independently handling day-to-day operational tasks.

This role is ideal for someone who combines technical GHL and AI automation skills with practical industry experience and strong administrative and communication skills.

Responsibilities

GoHighLevel & CRM Management

• Manage and maintain the client's GoHighLevel CRM


• Manage contacts, opportunities, pipelines, conversations, calendars, and client information


• Move and update deals through the appropriate pipeline stages


• Maintain accurate and organized CRM records


• Monitor existing GHL workflows, automations, triggers, and processes


• Troubleshoot basic GHL issues and identify areas that require attention


• Follow and maintain established SOPs and CRM processes


• Assist with updates and improvements to existing GHL systems as needed

AI & Automation

• Manage and maintain existing AI-powered automations and workflows


• Assist with implementing and improving AI-based processes within GoHighLevel


• Support AI-powered lead follow-up, lead qualification, appointment booking, and client communication


• Work with AI tools and integrations to improve business processes and efficiency


• Assist with connecting GHL to other platforms through tools such as Zapier, Make, webhooks, APIs, or similar automation tools


• Monitor automated processes and troubleshoot issues when needed


• Identify opportunities to improve or streamline existing workflows

Lead & Pipeline Management

• Monitor incoming leads and ensure they are properly recorded in the CRM


• Manage and update opportunities throughout the sales pipeline


• Ensure leads receive appropriate follow-ups based on established workflows


• Monitor pipeline activity and maintain accurate lead statuses


• Assist with lead nurturing and follow-up processes


• Help ensure no leads or opportunities are missed

Construction / Home Services Operations Support

• Support CRM and administrative processes for a construction, architectural, contracting, or home-services business


• Assist with scheduling appointments, consultations, and other client activities


• Coordinate with clients, contractors, vendors, and other relevant parties


• Assist with vendor-related communication and coordination


• Support contract-related administrative tasks and documentation


• Maintain accurate project, client, and vendor information


• Assist with general operational tasks related to the client's business

Scheduling & Calendar Management

• Manage and coordinate appointments and calendars within GoHighLevel


• Schedule and reschedule client appointments as needed


• Monitor upcoming appointments and follow-ups


• Coordinate schedules with clients, vendors, and other parties


• Ensure calendar information remains accurate and up to date

Client & Vendor Communication

• Communicate professionally with clients, vendors, and other business contacts


• Handle basic inbound and outbound phone calls when needed


• Respond to messages, inquiries, and follow-ups in a timely manner


• Coordinate with vendors and assist with related administrative tasks


• Maintain clear and professional communication across email, chat, and phone


• Escalate issues appropriately when needed

Social Media Support

• Assist with organizing and scheduling social media content


• Upload and schedule approved posts across relevant platforms


• Maintain content calendars and posting schedules


• Perform basic social media administrative tasks as needed

Administrative & Operations Support

• Follow established SOPs, workflows, and business processes


• Track tasks, deadlines, follow-ups, and outstanding requirements


• Organize client, vendor, and business records


• Assist with contract-related administrative tasks


• Perform data entry and other administrative duties as needed


• Provide general operational support to the client


• Work independently while keeping the client updated on task progress and concerns

Qualifications

• Strong hands-on experience with GoHighLevel


• Previous experience managing GHL workflows, automations, pipelines, and CRM systems


• Hands-on experience with AI automation or AI-powered business processes


• Experience with tools such as Zapier, Make, webhooks, APIs, or similar automation platforms is a strong advantage


• Previous experience working with a construction, architectural, contracting, remodeling, or home-services business


• Understanding of lead management, sales pipelines, appointment scheduling, and client follow-up


• Experience working with established SOPs and existing CRM systems


• Strong organizational and administrative skills


• Excellent written and verbal English communication skills


• Comfortable handling client, vendor, and occasional phone communication


• Strong attention to detail and follow-through


• Ability to work independently and manage multiple tasks and priorities


• Proactive and resourceful when troubleshooting issues


• Professional, reliable, and willing to commit to a long-term role
