Job Description - Residency Coordinator - Women's Health Office

Salary Range:

$50,639.00 - $75,959.00Assists the fellowship program directors and assistant program directors in the management of the fellowship programs (MFM, URPS & Family Planning) by ensuring accreditation standards are met, educational activities which support the curriculum are established, departmental policies are enforced, and recruitment strategies are implemented so that highly successful fellowship programs are maintained. Exercises initiative and independent judgment in communications with faculty and fellows, as well as discretion in management and communication of confidential information.


Essential Duties and Responsibilities:

  • Responsible for the overall management of the OBGYN fellowship programs, including estimating and monitoring fellowship program expenses, creating and maintaining departmental files, preparation of institutional forms and requests as appropriate (i.e. registrations, travel reimbursements, educational books and materials, etc.). Ensures that departmental schedules, reports, and correspondence are prepared and delivered in a timely manner.

  • Maintains the Albany Medical Center institutional schedule for fellowship coverage in MFM, URPS and Family Planning programs.

  • Plans and manages day to day activities of the three OBGYN fellowships, including the preparation of the weekly rotation schedule, development of the monthly conference schedule, monitoring evaluation process, scheduling faculty meetings as they relate to the fellowship programs, student education, and other activities as requested.

  • Ensures that confidential files and records of current and former fellows are maintained indefinitely and maintains the files of interview applicants for a period of ten years. Assists in the preparation of appropriate letters of recommendation, verification and reference requests for current and former fellows.

  • Assists the program director, assistant program director, and chief fellows in planning the monthly conference schedule, In-Training examinations, didactic attendance, and oral exams.

  • Assists the program director in meeting the current standards established by the Review Committee of the Accreditation Council on Graduate Medical Education (ACGME), the American Board of Obstetrics & Gynecology (ABOG), and updates program and fellow information to the ACGME, and AMA GME Track, and American Board of Obstetrics & Gynecology (ABOG) databases annually.

  • Assists fellows in becoming acclimated to the program via planning of orientation sessions, and preparation of orientation materials for incoming fellows, and acts as liaison between the Graduate Medical Education office and fellows at every level.

  • Prepares and updates appropriate schedules, evaluations, and monitors procedure logs through New Innovations.

  • Prepares Program Information Forms for ACGME site visits. Ensures appropriate data, files and other required and pertinent information is available at the time of the site visit.

  • Plans and coordinates the graduation for all three fellowship programs (MFM, URPS, & FP).

  • Develops, updates, and maintains all aspects of the fellowship program including evaluations, schedules, conferences, portfolios and curriculum in New Innovations, the residency software management suite.

  • Manages applications (ERAs/Thalamus/Residency Cas), coordinating interviews, maintaining ACGME compliance, scheduling, and supporting fellow research/thesis projects.

  • Coordinate sessions for fellows to present thesis as subsequent meetings with identified committee to defend their thesis  

  • Ensure thesis documentation for each graduating fellow is submitted to ACGME by June 15th deadline

  • Provide general assistance to fellows including licensing and certification; verify that fellow credentials and licenses are kept current

  • Maintain spreadsheet of fellow and fellow graduates with basic demographic information

  • Attend quarterly Education Committee meetings


Qualifications:

  • Associate's Degree Graduate of an approved business college - required

  • Bachelor's Degree - preferred

  • 3-5 years’ experience with demonstrated progressive responsibility - required

  • possess equivalent experience as determined to be adequate by the Chairman and Patient Care Service Director. - required

  • Must have organizational skills with attention to details, experience in coordinating complex schedules, maintain confidentiality and exercise independent judgment.

  • Proficient in word and Microsoft excel is required.
