DEPARTMENT: Administration-Community Engagement

POSITION TITLE: RSVP Program Assistant

LOCATION: Northampton

STATUS: Non-Exempt

SUPERVISOR: RSVP Program Director

POSITION SUMMARY

The RSVP Program Assistant provides administrative support to the RSVP program and staff.

ESSENTIAL RESPONSIBILITIES

  1. Manages and maintains all electronic and paper program files.
  2. Collects and records volunteer hours and mileage.
  3. Assists with onboarding of new volunteers, including completing all required paperwork.
  4. Communicate regularly with sites and volunteers to maintain accurate information regarding volunteer placements, leaves of absence, and other changes in volunteer status.
  5. Schedules and coordinates logistics for RSVP meetings, trainings, and events.
  6. Assists with data collection, including sending and recording surveys.
  7. Assists with routine volunteer communications, including cards, mileage checks, calls, and emails.
  8. Works with RSVP Program Director to manage HBB program supply inventory and purchasing.
  9. Oversee service of select volunteers assigned to the RSVP program.
  10. Represents RSVP in community meetings and events.
  11. Required to work some evenings and weekends as job requires.
  12. Required to travel throughout service area and out of service area as needed.
  13. Participate in professional development activities, team meetings, regularly scheduled supervision, mandatory agency training, and other relevant training.
  14. Maintains strictest confidentiality.
  15. Comply with agency and funders’ paperwork requirements and procedures.
  16. Other duties required for the management of the RSVP project and grant.

Requirements

QUALIFICATIONS/SKILLS

The ideal candidate will demonstrate the following competencies:    

  • Interpersonal communication – verbal and written.
  • Conflict resolution, problem-solving, establishing priorities, navigating change. 
  • Judgement and decision-making 
  • Practiced organizational skills, attention to detail, and ability to adapt to changing priorities.
  • Skillful relationship building with participants, staff, and community partners, and customer service.
  • Balance of initiative to work independently and interest/ability to collaborate with others
  • Promote equity by deconstructing barriers to a racially just system. Cultivate work environments that value truth-telling, courage, vulnerability, space to think and reflect, community-mindedness, hope, and openness to difficult conversations.

Key Knowledge and Experience:

  • Experience working with older adults and/or volunteers.
  • Experience with data management, data capture, tracking methods and analysis for outcome measurements. 
  • Proficient computer skills (Microsoft Suite using a mouse, email, Constant Contact, Facebook, and other program-specific software.

Minimum Qualifications/Transferable Skills:

  • Three years’ experience in related field

  • Some bending and stretching required.
  • Extensive use of telephone required.
  • Manual dexterity required for use of calculator and computer keyboard.
  • Must be able to lift from 20 – 30 lbs.
  • Specific vision abilities required by this job include vision, color vision and the ability to adjust focus.
  • The work environment includes indoor office environments or comparable spaces, and community spaces, with occasional exposure to outdoor weather when traveling to outreach or meeting sites. The noise level varies by site.

Employment is contingent upon successful completion of Criminal Offender Record check (C.O.R.I.) prior to hire and every three years. Successful completion of the National Service Criminal History Check components, including the NSOPW, state check, and FBI check. Evidence of a good driving record and ability to be covered under Community Action’s non-owned and hired vehicle policy.
