The James is an exciting new luxury senior living community coming to Irvine in 2027, thoughtfully designed for those who appreciate style, exceptional experiences and an elevated way of living.

Before our doors open, we're building the team—and the relationships—that will bring The James to life.

We are seeking a polished, highly organized and hospitality-minded Sales & Marketing Assistant to join our pre-opening sales team at The James Discovery Center in Irvine.

Working alongside our Director of Sales & Marketing and Sales Counselor, you'll help create an exceptional experience for prospective residents and families while providing the organization, follow-through and administrative support that keeps a high-performing sales team moving forward.

What You'll Do

As the Sales & Marketing Assistant, you'll be at the center of our pre-opening sales activity and often one of the first people prospective residents and families meet.

You'll:

• Welcome prospective residents, families and guests and create a warm, professional first impression.
• Answer incoming calls, assist with inquiries and support lead distribution and follow-up.
• Coordinate appointments, tours, events and other sales activities.
• Support the Director of Sales & Marketing and Sales Counselor with daily sales and administrative needs.
• Maintain accurate prospect information and sales activity in the CRM.
• Prepare and update sales reports, tracking tools and other sales documentation.
• Assist with reservation, deposit, cancellation, transfer and other sales-related documentation.
• Help plan and execute prospect events and marketing activities.
• Prepare sales materials, correspondence, presentations and collateral.
• Maintain calendars, schedules and appointments for the sales office.
• Track office and marketing supplies, invoices and expenses.
• Assist with newsletters, website updates, social media and other marketing initiatives.
• Coordinate information and documentation needed as future residents progress through the sales and move-in process.
• Communicate with other departments as the community prepares for opening.
• Help ensure the Discovery Center consistently reflects the polished, luxury experience of The James.
• Occasionally travel locally to prospective residents' homes or other locations to support the sales process.
• Provide additional sales and marketing support as needed.

Who We're Looking For

This role is ideal for someone who enjoys people, hospitality, organization and being part of a fast-moving team.

You may come from senior living, luxury hospitality, residential leasing, real estate, a high-end customer service environment or a sales/marketing office. Senior living experience is helpful, but it is not required.

Our ideal candidate has:

• At least 1 year of related sales, marketing, administrative, hospitality or customer service experience.
• High school diploma or equivalent required; bachelor's degree preferred.
• Strong organizational skills and exceptional attention to detail.
• A warm, polished and professional communication style.
• Excellent follow-through and the ability to manage multiple priorities and deadlines.
• Confidence interacting with prospective residents and families in person and by phone.
• Strong written communication and proofreading skills.
• Proficiency with Microsoft Office applications.
• Experience working with a CRM or sales tracking system is a plus.
• The ability to work collaboratively in a high-energy, pre-opening environment.

At The James, this position is an important part of the sales experience.

You'll help prospective residents and families feel welcomed from their first interaction, support the sales team as relationships develop, and experience firsthand what it takes to take a luxury senior living community from pre-opening to opening day and beyond.

Compensation & Position Details

Pay: $28.85 per hour (approximately $60,000 annually based on a 40-hour workweek)

The position requires the ability to work in a fast-paced environment with frequent interruptions, walk and stand regularly, travel locally as needed, and perform the physical requirements associated with the position.
