Reports to Sales Support Team Lead



Job Description



Provide excellent sales and customer support to specific account base. Responsible for customer service and purchasing activities to ensure outstanding service to Kaufman Container customers. Works directly with account managers and outside sales to support various sales activities.



Essential Functions

Provide and maintain excellent customer service for the assigned customer account base, account managers and all departments within Kaufman Container.


Answer and respond to all incoming customer calls and e-mails.


Verify, audit and maintain sell prices for all items sold to assigned customers.


Enter new ship to addresses and pick ticket notes for Warehouse and Traffic.


Assist Account Managers with project preliminaries and deco sample requests as needed.


Assist with the coordination of customer information such as credit applications, tax exempt information, credit card information, ship-to address details, freight handling as needed.


Maintain and create new item numbers for parts.


Enter new and maintain existing customer sales orders, including direct, warehouse and decoration jobs.


Confirmation, follow-up and expediting of existing customer orders and decorating / off-site jobs.


Process art folders and process change requests, as needed, for account base, including ink matches, decoration sample requests and decoration tooling order form.


Maintain customer files, including item numbers, specs, artwork, correspondence, quality complaints, quotations and sales reports.


Maintain customer paperless files on Kaufman Container G Drive.


Assist Account Manager in monitoring inventory and Just In Time programs.


Work with the Warehouse and/or Traffic Department to obtain freight rates.


Process and assist with customer credits, which may include contacting customers for short payments or other discrepancies.


Issue customer complaint information to the Quality Department for action.


Provide customer reports as required by the customer or the account manager.


Assist with customers using the Kaufman/Customer specific Portal, as needed.


Answer and respond to incoming supplier calls and email as needed.


Enter supplier purchase orders.


Retrieve information from supplier website(s) to complete part entry.


Follow-up and expediting of existing purchase orders to maintain delivery date accuracy.


Verify all supplier order acknowledgments – including price, part number and delivery dates and add to G Drive Folder


Coordinate vendor information to accounts payable including processing debit memos to vendors, reviewing costs and approving vendor invoices for processing.


Process carrier freight bills as freight in sell or invoice to customer.


Maintain off-site inventories for specific account base.


Maintain job material dates and completion dates in order to keep customers informed.


Create MOM's (BOM) for offsite jobs and maintain project timing for customer orders.


Order samples and request pricing, MOQ and lead time when requested by account manager.


Maintain Open Sales Order and Open PO reports.


Provide backup coverage for the front desk during planned and unplanned absences, including greeting visitors, answering phones, and assisting with routine reception tasks.


Additional Responsibilities


Perform other duties as assigned.


Qualifications


College Graduate - Associate's or Bachelor's Degree (preferred but not required)


Up to 5 years customer service experience and purchasing experience preferred.


Exceptional Critical Thinking Skills


Positive attitude


Self-motivated


Excellent communication skills


Working knowledge of computer systems

Ability to read, write, and speak Spanish proficiently a plus
