Job Description - Scheduling Coordinator/Floater





Visiting Angels is a name families across the country trust to provide the best senior home care for their loved ones. We are proud to be a leading provider of elder care since 1998!  The home office for Visiting Angels of Southern Shenandoah Valley is located in Harrisonburg, Virginia.


Our TEAM is currently looking for a Scheduling Coordinator to join our office.  We are looking for a dedicated individual seeking to grow into a management level position!

Responsibilities


  • Demonstrate dependability.

  • Maintain the weekly schedule by ensuring that the schedule is complete by Thursday at noon for the following week providing consistency in Caregiver and client schedules and being cautious of Caregiver overtime.

  • Communicate with Caregivers about schedules and availability to keep client schedules fully staffed.

  • Work with various office staff as a team to be stronger together.

  • Monitor daily clock in/out notifications and take appropriate action using good judgment measures.

  • Timely and accurately document notes and information into Wellsky.

  • Answer the telephone with utmost diplomacy and tact following Agency’s telephone etiquette rules in which to provide excellent customer service.

  • Bring to the Director’s attention any Caregiver policy violation, misconduct, attendance problems or any other employment issues.

  • Assist Manager and Directors to recruit and advertise for Caregivers by preparing weekly job postings and following up on Caregiver leads and applications to ensure Agency has steady supply of Caregivers available.

  • Schedule Caregiver interviews with Manager and timely update calendar using online office calendar.

  • Immediately upon scheduling the Caregiver applicant’s interview send standard confirmation letter to applicant through Hireology by text message and email.

  • Assist with new Caregiver orientations as necessary. 

  • Open new applicant file on Wellsky entering crucial information such as applicant’s contact information and skill levels.

  • Make appropriate corrections to the schedule for accurate payroll and billing.

  • Be available for rotating “on-call” evenings and weekends. 

  • Be ready and willing to fill in on a shift if a Caregiver calls out or is unavailable.

  • Be available to introduce new Caregivers to client and/or help orient Caregivers with a new client.

  • Work with other office staff to retain existing Caregivers and make them feel appreciated and valued.

  • Maintain clean office work space free from clutter and trash.

  • Maintain absolute confidentiality of all information pertaining to co-workers, employees, clients, clients’ families and Agency’s business.

  • Generate goodwill toward Agency and demonstrate a strong commitment to Agency.

  • Perform related duties and responsibilities as deemed appropriate by the management team.



Qualifications


  • High School Diploma or equivalent

  • PCA (personal care aide), Nurse Aide Course Completion Certificate, CNA (certified nursing assistant) license or equivalent

  • Prior experience in a healthcare or in-home care environment (minimum of 1 year) preferred

  • Prior experience with various homecare equipment (wheelchair, gait belt, walkers, etc.)


  • Enjoy working in a one-on-one and team settings, eager to improve and continuously learn new skills



  • Ability to perform all essential job functions with or without accommodations



  • Valid driver’s license and reliable transportation every single day



  • Auto Insurance



  • Validated ability to act in a compassionate and supportive manner



  • Available to work different shifts, including nights and/or weekends



  • Willingness to enforce health and safety standards
