POSITION: School and Tour Programs Coordinator


TYPE: Part-Time Hourly


CLASSIFICATION: Non-Exempt


DEPARTMENT: Education and Engagement


REPORTS TO: Manager of School and Educator Programs


SCHEDULE: 25-30 hours per week, occasional evening and weekend hours required


COMPENSATION: $23.00/hr



SUMMARY


Virginia MOCA invites our community to explore our shared humanity through contemporary art. The School and Tours Programs Coordinator supports the day-to-day scheduling, communication, and logistics that make that mission tangible for educators and learners of all ages throughout Hampton Roads — with significant opportunity to grow both programs. Reporting to the Manager of School and Educator Programs, this role requires a self-directed, detail-oriented professional who is equally comfortable behind the scenes and facilitating engaging learning experiences in the museum and community. Duties of this position include but are not limited to the responsibilities listed below.



RESPONSIBILITIES


• Support the Manager of School and Educator Programs with logistics, coordination, promotion, and growth of group tours and school outreach programs


• Manage scheduling for both Group Tour and School Outreach programs end-to-end: respond to inquiries, gather booking details, create calendar events, and coordinate educator and Gallery Teacher scheduling


• Communicate with tour and school/organization contacts regarding program confirmations, pre-visit materials, reminders, and post-visit surveys; maintain program records tracking attendance, locality, Title 1 affiliation, grant-funded visits, and revenue


• Prepare, organize, and reorder art making and outreach program supplies; be present and available during guided tours to troubleshoot day-of issues, and/or step in to lead or co-lead a tour, art-making workshop, or outreach program if an educator is unavailable


• Assist with the shift between exhibitions through research, planning, installation, and maintaining training resources for our educators


• Support departmental budget tracking by logging program expenses and tracking accounts receivable for tour art-making fees


• Other projects may be assigned as needed



SKILLS & ABILITIES


• 2+ years of experience in arts administration, museum education, teaching or a related field.


• Experience facilitating educational programs for children, youth, or adult learners in a classroom, museum, cultural institution, or informal learning environment


• Associate’s degree required; Bachelor’s degree in art education, museum studies, arts administration, or related field preferred


• Must be able to lift and/or move up to 50 pounds


• Must be able to stand and sit for prolonged periods of time


• Must be able to maintain continuous physical activity while working safely in an office and studio environment


• Strong facilitation, customer service and administrative skills


• Ability to assess priorities and manage multiple projects


• Ability to communicate clearly and effectively


• Must have strong interpersonal skills and a positive, creative approach to being an imaginative, flexible, and resourceful staff member


• Knowledge of modern computer programs (including Microsoft Suite and Google Workspace)


• Experience working in youth-based programs and art studios, preferred


• Must have a valid Virginia Driver’s License and maintain a good driving record


• Background check is required
