Job Description - Senior Accounting Clerk

DEPARTMENT: Finance Department

ACCOUNTABILITY: Reports to Finance Manager

STATUS: Full-time-In Office Schedule, Exempt

JOB SUMMARY

We are seeking a meticulous and organized Senior Accounting Clerk to support our finance department. The ideal candidate will be responsible for accurate financial data entry, maintaining organized records, and ensuring proper documentation throughout the purchasing process. This role is critical in ensuring financial accuracy and compliance in procurement operations.

DUTIES AND RESPONSIBILITIES

Essential Functions

· Maintain the requisition purchase process for the finance department

· Arrange organizational accounts with vendors and make purchases as appropriate

· Assist with expense tracking and reporting for procurement activities

· Reconcile discrepancies between purchase orders, delivery receipts, and invoices

· Ensure documents are properly filed and easily retrievable for audits or internal reviews

· Support month-end and year-end reconciliation related to purchasing and requisitions

· Input requisition, purchasing, and reimbursement data into spreadsheets/financial systems for tracking and reporting

· Serve as a back-up for the accounting clerk’s duties

· Review and draft provider contracts and amendments

· Gathering and preparing information for clerical support, reports, and audits

· Communicates information effectively with others, both internally and externally, of all backgrounds

· Ad Hoc projects or duties assigned by Finance Manager

Requirements

EDUCATION, EXPERIENCE AND SKILL REQUIREMENTS

Knowledge and Experience:

· Associate's degree or equivalent work experience

· Basic understanding of accounting principles preferred

Skills:

· Strong knowledge of bookkeeping

· Diligence and accuracy in data entry

· Demonstrate basic clerical and filing skills

· Demonstrate basic math and computation skills

· Excellent knowledge of MS Excel and accounting software

· Excellent verbal and written communication and presentation skills

· Ability to operate ten-keys adding machine, and copier

· Ability to follow instructions and to work independently and as part of a team

· Ability to learn financial documentation requirements of Legacy’s funding sources and apply that knowledge to tasks associated with required record keeping

Licensure and Certification

· Valid State Driver’s License

· Frequent: Standing, sitting, walking, bending, repetitive use of hands, simple grasping, and fine hand manipulation, pushing, and pulling. Occasionally required to lift or reach above shoulder level, climb, twist, squat, kneel, crouch or crawl

· Must be able to lift up to 11 pounds, and occasionally up to 25 pounds

· Ability to respond appropriately to emergency situations

· Ability to read and interpret a variety of instructions in written, oral, diagram, or schedule form

· Ability to apply common sense understanding to conduct detailed written or oral instructions

· Ability to deal with problems

· This job operates in an office environment. This role routinely involves standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines

· Temperature ranges from normal indoor climate-controlled environments in buildings or vehicles, various outdoor conditions and temperature extremes encountered during off-site travel, and unpredictable indoor environmental conditions encountered during off-site travel, and unpredictable indoor environmental conditions encountered at off-site locations

· Noise level is quiet to moderate
