Job Description:


Metas Solutions has an opening for an experienced Senior Administrative Specialist to work on site in Atlanta, GA. In this role, you will support our client's Senior Executive Management Team with the programmatic support required to sustain operational continuity and effectively implement pending projects and tasks. You will provide advanced programmatic support services for managing and implementing activities.


Responsibilities:



  • Support the HR Team by managing in-processing/out-processing activities for office staff and contractors.

  • Compile briefing materials for leadership.

  • Monitor shared mailboxes and triage communications.

  • Prepare and process domestic/international travel authorizations.

  • Prepare and submit training requests, complete travel vouchers within required timeframes.

  • Maintain travel projections and cost tracking.

  • Coordinate conference attendance requests.

  • Assist with the scheduling and logistical arrangements of meetings, conferences and training events.

  • Coordinate executive calendars and schedules; facilitate VIP visits and leadership engagements.

  • Prepare itineraries, briefing materials, and talking points.

  • Serve as liaison with CDC offices and external partners.

  • Prepare presentations, communications, and award materials. Maintain project and deliverable trackers.

  • Support executive management in maintaining their daily calendars and critical scheduling needs. Anticipate conflicts and provide early resolutions for issues of an operational or technical nature.

  • Analyze data for data quality and present the data in reports, presentations, and publications.

  • Prepare and organize correspondence, narrative reports, annotated staff studies, and other materials. Document and distribute meeting minutes; compile reports; and provide ad-hoc programmatic support to the division's staff as needed.

  • Assist in coordinating higher-level special projects by developing project plans and schedules. Enter pertinent information into various automated tracking systems and maintain program-specific data to track project milestones, progress reports, funding and expenditure data, etc.

  • Provide support in budget functions, including preparing budget and contract documents for procuring supplies and equipment to support programmatic work goals and initiatives.

  • Advise management on the effectiveness of the programmatic operations and other issues. Prepare briefings, testimony, scientific presentations, and educational presentations for senior-level management.

  • Prepare requests for small purchases and manage and control personal property within a defined custodial area.

  • Support the timekeeping and travel needs of the Branch.

  • Serve as facilities contact for building facilities officials, maintain Emergency Evacuation list and Floor Plan report, facilities work orders, and key requests.


Required Skills and Experience:



  • Previous CDC experience in administrative support is preferred.

  • Bachelor's degree and 8+ years supporting the federal government in administrative support roles required.

  • The following systems experience are needed: ConcurGov Travel System, Credit Card Purchasing System (CCPS), Vendor Supplied Training System (VSTS), Time and Attendance (TASNet) 1350, Integrated Conference Approval Portal (ICAP).

  • Experience with MS Office Suite 365, SharePoint and Teams.

  • Experience in Executive Administration for senior level leadership.

  • Experience supporting multiple ongoing activities.

  • Excellent communication and interpersonal skills.
