Job Description - Senior Loan Document Specialist


Role:

By emphasizing ONE Park, ONE Mission, ONE Team, the Senior Loan Document Specialist serves as a subject matter expert and lead resource within the Loan Documentation team. This role is responsible for managing complex or escalated loan closings, ensuring accuracy and compliance in documentation, and supporting the seamless closing of consumer, mortgage, and commercial loans. The Senior Loan Document Specialist also assists the manager with coaching, mentoring, and developing other Loan Document Specialists, fostering a culture of teamwork, accuracy, and service excellence.

 

Essential Functions & Responsibilities:


  • Close approved loan applications across consumer, mortgage, and commercial lending by reviewing documentation for accuracy, clearing conditions, coordinating with third parties, scheduling closings, and ensuring loans are ready for funding. Handle escalated or complex loan documentation situations, ensuring timely and accurate resolution while maintaining member satisfaction. Monitor work ensuring defined metrics are being met.

  • Serve as the Subject Matter Expert for the Loan Documentation team. Provide guidance, troubleshoot issues, and answer questions for other Loan Document Specialists to ensure consistency in practices and compliance with policies and regulations. Contribute to testing and implementing new processes and systems for project teams. Keep manager informed of issues that may arise or items that may need higher level review and/or approval.

  • Assist with coaching, mentoring, and training loan document staff. Support onboarding of new team members, provide input on performance, and help develop best practices to improve efficiency and accuracy.

  • Build and maintain relationships with originators, funders, underwriters, branch staff, and external vendors (title companies, appraisers, etc.) to ensure smooth and timely closings. Serve as a liaison in escalated or time-sensitive situations.

  • Stay current with lending regulations, compliance requirements, policies, and procedures. Advise management on changes that may affect loan documentation processes and recommend improvements to mitigate risk.

  • Perform other job-related duties as assigned.

6. To maintain knowledge of all lending products and rates within the credit union as well as a working knowledge of other credit union products

7. To follow the credit union’s Bank Secrecy Act and anti-money laundering policies and procedures, including running OFAC searches, completing investigative reports of suspicious activity and currency transaction reports timely and without error.

8. To maintain a professional work environment, promote teamwork, build respect among coworkers and present a businesslike appearance.

9. To follow all security policies and procedures and report discrepancies or suspicious activity to manager immediately.

 

Knowledge and Skills:

Experience Three years to five years of similar or related experience.

Education (1) A two-year college degree, or (2) completion of a specialized certification or licensing, or (3) completion of specialized training courses conducted by vendors, or (4) job-specific skills acquired through an apprenticeship program.

Interpersonal Skills Work involves extensive personal contact with others and is of a personal or sensitive nature. Motivating, influencing, and/or training others is key at this level. Outside contacts become important and fostering sound relationships with other entities (companies and/or individuals) becomes necessary and often requires the ability to influence and/or sell ideas or services to others.

Other Skills In-depth knowledge of consumer, mortgage, and commercial loan documentation.

Strong analytical and decision-making abilities.

Ability to coach, mentor, and support staff development.

Proficiency with lending systems, PCs, and general office equipment.

The employee is occasionally required to stoop, bend, squat, and reach overhead with hands and arms. Occasionally pushing and pulling of office furniture and other objects. The employee may occasionally lift and/or move up to 15 pounds and on occasion lift and/or move up to 25 pounds.
