Job Description - Special Assistant to the Chancellor and Executive Administration
Reporting to the Chancellor, the Special Assistant to the Chancellor and Executive Administration will provide administrative support to the Chancellor and the Vice Chancellor for Administration and Chief of Staff. This position will aid these roles through communication to internal and external stakeholders, collaboration with System leadership on strategic priorities, and management of special events.
Essential Duties
Executive Support: Managing administrative functions of the Office of the Chancellor and the Office of Administration; assisting the Chancellor with effective communication to the Board of Trustees, campus Presidents, Health System CEO, and System Office senior leadership; assisting the Chief of Staff with coordination of divisional operations, administrative initiatives, and special projects.
Teamwork and Collaboration: Collaborating with senior leadership across the System on the Chancellor's strategic priorities.
Event Coordination: Planning and managing System Office events and coordinating with others across the System about events involving the Chancellor, the Chief of Staff, and/or the Board of Trustees.
Program Management: Managing the UA System Office Fellows program.
Minimum Qualifications
Bachelor's Degree
Five (5) years of relevant experience
Knowledge, Skills, And Abilities
Communication Skills: Proficiency in both verbal and written communication to effectively assist the Chancellor and Chief of Staff with communication to the Board of Trustees, campus Presidents, Health System CEO, and System Office senior leadership; ability to clearly convey strategic priorities and collaborate with senior leadership
Organizational and Administrative Skills: Strong organizational skills to manage the administrative functions of the Office of the Chancellor; ability to plan, manage, and coordinate events involving the Chancellor, the Chief of Staff, and/or the Board of Trustees
Teamwork and Collaboration: Ability to work collaboratively with senior leadership across the System to support the Chancellor's strategic priorities; strong interpersonal skills to foster teamwork and effective collaboration
Program Management Skills: Experience in managing programs, such as the UA System Office Fellows program; ability to oversee program activities, ensure alignment with strategic goals, and manage resources effectively
Physical Demands
Sedentary Work: involves exerting up to 10 pounds of force occasionally or a negligible amount of force frequently to lift, carry, push, pull, or otherwise move objects. Sedentary work involves sitting most of the time but may involve walking or standing for brief periods of time.
Working Environment
This role will be based at the UA System Office in Tuscaloosa, Alabama, with occasional travel expected between UA, UAB, UABHS, UAH, and affiliated organizations. The hours are typically 8:00 am - 5:00 pm, may occasionally be required to work more than 40 hours to meet project timelines.
