Summary The Senior Training Administrative Specialist plays a critical role in supporting the Field Sales Training team by owning the logistics, coordination, and operational execution behind training and event delivery. 


This role partners closely with Training Executives and Sales to ensure workshops, events, and seminars run seamlessly. The position is ideal for someone highly organized, detail-oriented, and energized by supporting a fast-paced, travel-heavy field team. This role enables our Training Executives to focus on high-impact education, account support, and strategic initiatives by ensuring every training experience is flawlessly prepared and executed behind the scenes. 


Essential Duties and Responsibilities: 



  • Coordinate scheduling and logistics for workshops, events, and business-building education 
    • Manage training calendars, registration tracking, confirmations, and attendee communications 
    • Coordinate venue logistics including contracts, catering, AV, shipping, and room setup needs 
    • Partner with Sales and Training to prioritize and schedule high-impact training opportunities 
    • Support post-event follow-up communications and documentation 
    • Manage shipment of training materials, kits, and event supplies to and from venues 
    • Track inventory of training supplies and support restocking and ordering 
    • Prepare event checklists and ensure all materials arrive on time and in brand-ready condition 

  • Maintain training documentation, trackers, and reporting dashboards 
    • Compile post-event reporting, attendance records, and field feedback summaries 
    • Assist with training program updates, material revisions, and content organization 
    • Support budget tracking, expense coordination, and vendor invoices 
    • Provide administrative support for conferences, trade shows, and national meetings 

  • Support Training leadership with project coordination and program logistics 
    • Serve as a central coordination hub between Training, Sales, Marketing, and Events teams 
    • Help identify opportunities to streamline processes and improve training operations 
    • Support ad-hoc sales and training initiatives as needed 


Knowledge, Skills & Abilities 


3–5+ years of experience in administrative, training coordination, events, or operations support 
• Highly organized with exceptional attention to detail and follow-through 
• Skilled at managing multiple projects, deadlines, and shifting priorities simultaneously 
• A proactive problem solver who anticipates needs and removes roadblocks for the team 
• Strong communicator comfortable working cross-functionally with field and corporate teams 
• Technically proficient in PowerPoint, Excel, Outlook, and shared project tools 
• Experienced in travel coordination, calendar management, and vendor communication 
• Comfortable supporting a fast-paced, travel-heavy field organization 
• Able to occasionally travel for major events or team meetings (minimal travel compared to field team) 


Work Environment:   The work environment is indoors in a professional office environment.  The floor surfaces are carpeted in office areas and conference rooms with vinyl floor covering typical in hallways, break rooms and computer rooms.  


Work Hours: The work schedule is 5 days per week, 8 hours per day.  Initial start time may vary, with work hours typically from 8am-5pm.  Work hours and shifts are subject to change depending on operating business conditions and needs. The position resides in Orange County but is hybrid with 2 days being remote work. 


Physical and Mental Demands: Sedentary, exerting up to 10 pounds of force occasionally, or negligible amounts of force frequently, to move objects. This job also requires constant sitting. Constant use of the upper extremities is required to reach, handle, and position tools and equipment.  The employee must know and follow proper safety protocols and maintain a professional and polished appearance.
