Job Description - Staff Accountant

Position Overview:


We are looking for a detail-oriented Staff Accountant to join our finance team. This is a hands-on, individual contributor position focused on keeping our day-to-day accounting operations running smoothly and our financial records audit-ready. Reporting to the Director of Finance & Administration, you will own core accounting functions including accounts payable, accounts receivable, bank reconciliations, and month-end close support.

Core Accounting & Accounts Payable



  • Process accounts payable including invoice review, payment preparation, and check processing in accordance with internal controls.

  • Review invoices for accuracy, appropriate coding, approvals, and compliance prior to payment.

  • Prepare vendor payments and ensure timely and accurate posting to the general ledger.

  • Reconcile accounts payable activity and resolve discrepancies.

  • Coordinate payment approvals with the Director of Finance & Administration to support segregation of duties.



Accounts Receivable & Cash Management



  • Process constituent invoicing and apply payments accurately.

  • Track daily cash activity and deposits.

  • Perform bank and cash reconciliations and investigate reconciling items.

  • Identify and escalate unusual transactions or variances promptly.



Month-End Close & Reconciliations



  • Prepare and complete balance sheet and general ledger reconciliations.

  • Support month-end and year-end close processes, including journal entries and variance review.

  • Ensure financial records are complete, accurate, and audit-ready.



Reporting, Audit & Compliance



  • Compile financial data to support internal financial reporting.

  • Maintain organized documentation for audits and respond to audit requests.

  • Follow established accounting policies, procedures, and internal controls.



Qualifications




  • Bachelor's degree in Accounting, Finance, or a related field.

  • 3+ years of accounting experience.

  • Hands-on experience with accounts payable, accounts receivable, and reconciliations.

  • Strong attention to detail and ability to meet recurring deadlines.

  • Ability to work independently within established processes.



Preferred



  • Nonprofit accounting experience.

  • Proficiency with Excel and accounting software systems.


Other duties related to the fundamental aspects of the Staff Accountant or related positions may be assigned at the discretion of the DFA and CEO.

  • The position requires travel within the local area to office and business locations to conduct business transactions. This involves exposure to weather conditions, traveling to and from buildings, and operating a vehicle.

  • Must articulate concepts and ideas clearly, concisely, and accurately.

  • Must assess problems, provide solutions, and use good judgment.

  • Ability to reach with hands and arms, lift up to 25 pounds, climb/balance, stoop/kneel/crouch/crawl, and push/pull file cabinet drawers.

  • Must be able to identify and assess information on computer screens and written reports and documentation and record accurate written and electronic messages and reports.

  • Requires distinguishing letters or symbols and eye/hand coordination.

  • Ability to Comply with the Company Drug and Alcohol Policy as a requirement of a position that could adversely affect the safety of others.



Work Environment: While performing the duties of this job, the employee is occasionally exposed to excessive heat and wet and/or humid outside conditions. Due to working in the office, warehouse, and/or school setting, the noise level in the environment is moderate to high.



Hours: Monday to Friday, 8:00 am to 4:30 pm


Workplace Type: On-Site


Reports to: Director of Finance and Administration


Employment Status: Full-Time


FLSA Status: Exempt


Salary: $55,000 to $60,000/yr depending on experience
