 Position Summary

DragonRidge Country Club is seeking a detail-oriented and dependable Staff Accountant to support the Club’s daily accounting operations and financial reporting. This is a hands-on, in-office position responsible for maintaining accurate financial records, completing daily reconciliations, supporting month-end close, and preparing financial information for management review.

The ideal candidate is comfortable working in the details, following up on discrepancies, and communicating with department heads regarding invoices, budgets, coding, and financial results. Experience in hospitality, private clubs, restaurants, golf, or another multi-department operation is preferred but not required.

Essential Duties and Responsibilities

Daily Accounting and Reconciliation

  • Review and reconcile daily financial activity from the Club’s point-of-sale and accounting systems.
  • Review end-of-day reports for completeness and accuracy.
  • Verify daily sales, member charges, payments, discounts, voids, refunds, gratuities, service charges, and cash activity.
  • Confirm that point-of-sale activity is properly recorded in the accounting system.
  • Reconcile cash deposits and credit card settlements to daily activity.
  • Research posting errors, missing transactions, and other discrepancies.
  • Work with department managers to resolve outstanding items promptly.
  • Maintain organized supporting documentation for daily transactions and adjustments.

General Ledger and Month-End Close

  • Maintain accurate general ledger records and confirm transactions are posted to the correct accounts and departments.
  • Prepare routine journal entries, accruals, prepaid expense entries, allocations, and account adjustments.
  • Reconcile assigned balance sheet and general ledger accounts each month.
  • Maintain supporting schedules for prepaid expenses, fixed assets, deposits, accruals, and other accounts.
  • Assist with the monthly closing process according to the established close calendar.
  • Prepare departmental profit-and-loss reports, budget-to-actual reports, and supporting financial schedules.
  • Research unusual balances and financial variances before reports are presented to management.
  • Assist with preparing monthly financial statements for review by the General Manager and ownership.
  • Provide supporting documentation and schedules to the Club’s outside CPA as requested.

Accounts Payable

  • Review vendor invoices for accuracy, proper coding, departmental approval, and supporting documentation.
  • Enter invoices into the accounting system and maintain accurate vendor records.
  • Verify that invoices agree with contracts, purchase orders, estimates, or approved pricing when applicable.
  • Prepare accounts payable reports and payment recommendations for management approval.
  • Monitor invoice due dates, outstanding credits, duplicate charges, and vendor discrepancies.
  • Communicate with vendors and department heads to resolve billing questions.
  • Maintain current W-9s and other required vendor documentation.
  • Assist with annual 1099 preparation.

Accounts Receivable and Member Accounts

  • Review member billing activity, payments, credits, adjustments, and outstanding balances.
  • Assist with monthly member billing for dues, food and beverage minimums, events, services, and other charges.
  • Research disputed or incorrectly posted member charges and coordinate corrections with the appropriate department.
  • Review membership account changes for proper billing, including new memberships, resignations, suspensions, and category changes.
  • Prepare accounts receivable aging reports for management review.
  • Assist with professional and timely collection follow-up as directed.

Banking and Cash Reporting

  • Reconcile bank accounts, credit card activity, merchant deposits, and other cash accounts.
  • Monitor outstanding checks and other reconciling items.
  • Assist with preparing weekly cash position and upcoming payment reports for management.
  • Maintain accurate documentation for deposits, payments, transfers, and other banking activity.
  • Report unusual transactions or unresolved discrepancies to the General Manager promptly.

Departmental Financial Support

  • Prepare budget-to-actual and departmental financial reports for management.
  • Meet with department heads alongside the General Manager, as needed, to review revenue, expenses, and budget variances.
  • Help department managers understand account coding and the financial information related to their areas.
  • Follow up with department heads regarding missing invoices, outstanding approvals, unusual spending, and anticipated expenses.
  • Assist with the annual budgeting process by preparing historical information, templates, and supporting schedules.
  • Track approved capital purchases and projects against budget.
  • Assist with periodic forecasts and other financial analysis requested by management.

Accounting Controls and Recordkeeping

  • Follow established accounting policies, approval procedures, and internal controls.
  • Maintain complete and organized financial records.
  • Assist with documenting and improving routine accounting procedures.
  • Protect confidential Club, member, employee, and financial information.
  • Support tax preparation, financial reviews, insurance audits, and other outside reporting requirements.
  • Identify discrepancies or control concerns and bring them to the General Manager’s attention.
  • Complete other accounting and administrative duties as assigned.

Requirements

 Qualifications

  • Bachelor’s degree in accounting, finance, business administration, or a related field preferred.
  • Three or more years of accounting or bookkeeping experience preferred.
  • Working knowledge of general ledger accounting, account reconciliations, accounts payable, accounts receivable, and month-end close.
  • Experience preparing journal entries and supporting financial schedules.
  • Strong Microsoft Excel skills.
  • Experience with accounting, point-of-sale, or club-management software.
  • Experience with Clubessential or similar club software is a plus.
  • Hospitality, restaurant, golf, private club, or multi-department accounting experience is helpful.

Compensation and Benefits

The salary range for this position is $65,000 to $70,000 annually, depending on experience and qualifications. DragonRidge Country Club also offers a competitive employee benefits package and a professional, team-oriented work environment.

This position is intended to prepare, reconcile, and support the Club’s financial reporting. Final review of financial statements, strategic financial decisions, ownership reporting, tax matters, and other controller-level responsibilities will remain with Club management and the Club’s outside financial professionals.
