Job Description - Staffing Clerk

Description

  • The Service Specialist works under the supervision of the Director and Associate Director Talent Mobility Center of Excellence to coordinate clinical schedules and staffing on a daily basis.
  • Assists with facilitating staffing resources, including supplemental staff and reassignment of staff in collaboration with leaders for optimum utilization of personnel.
  • Performs a variety of clerical functions and tasks.



  • Responsibilities
    • Calculate suggested staffing requirements based on patient census and other staffing guidelines. Compare to available staffing and suggest alignment as needed.
    • Receives daily sick/absent calls, reassigns staff and makes calls to cover as needed.
    • Receives phone calls, answers staffing and personnel questions when appropriate, and relays messages as needed.
    • Processes staffing changes by updating daily staffing boards.
    • Coordinate assignment of float pool and PRN staff to meet the needs of the patients.
    • Enters and updates data into API to ensure accuracy of reporting.
    • Print daily, weekly and other periodic API reports as scheduled and as requested by leaders.
    • Assists with auditing/analyzing API schedules.
    • Acts as a resource for staff and leaders for API system.
    • Is knowledgeable of current staffing and scheduling policies and advises leaders of discrepancies.
    • Assists with maintaining staff schedules.
    • Uses computers and computer systems to enter data and/or process information.
    • Communicates daily with the leaders or designee to verify and facilitate daily staffing consistent with patient care needs.
    • Communicates pertinent staffing plans for future shifts to on-coming Medical Center Coordinator.
    • Effectively interacts with caregivers and leaders.
    • Works independently and is capable of adjusting to changing environment.
    • Other duties as assigned

    Education
    • H.S. Diploma - Required

    Work Experience
    • ANSOF Training. - Required
    • Knowledge of computer programs (excel, word, etc.). - Required
    • 4-6 weeks on-the-job training. - Required

    Licenses and Certifications
    • Upon Hire

    Travel Requirements
    • Travel to off-site locations may be required. - Required

    Essential Physical Requirements

    • Ability to walk, move, kneel, crouch, stoop, reach, stand, push, pull, and lift.
    • Ability to utilize clear, effective speech when communicating.
    • Possess full manual dexterity of upper extremities, including neck and shoulder.
    • Possess unrestricted movement of lower extremities, back and hips.
    • Possess ability to touch the floor to remove environmental hazards.
    • Must follow good body mechanics.
    • Regularly required to sit, reach with hands and arms, stand, walk, climb, balance, stoop, kneel, or crouch. Must have the ability to lift and/or move up to 25 pounds.

    Essential Mental Abilities

    • Possess ability to problem solve, manipulate numbers, interpret data, comprehend, understand, explain, assess, evaluate, plus good short term and long term memory.
    • Ability to prioritize tasks.

    Essential Sensory Requirements

    • The ability to read and comprehend documentation and policies.
    • The ability to write in legible documentation style which is readable in the English language.

    Exposure to Hazards

    • Electrical output of personal computer, eye and neck strain.

    Other Skills and Abilities

    • Ability to adapt to unpredictable situations within the work setting.
