The Supervisor, Staffing Operations is responsible for day-to-day leadership and coordination of centralized staffing functions to ensure effective workforce deployment across the health system. This role oversees Staffing Specialists and Contingent Labor Resource Specialists, ensuring consistent execution of staffing processes, prioritization of internal labor resources (e.g., core staff and IRP), and efficient utilization of contingent labor where necessary. Serving as a key operational leader within the Central Staffing Office, the Supervisor translates system-wide staffing strategy into daily execution, supports staffing decision-making, ensures data integrity, and promotes standardized workflows. This role partners closely with nursing leadership, department leaders, HR, and finance to support safe, cost-effective, and responsive staffing operations aligned with organizational goals.

A Brief Overview

The Supervisor, Staffing Operations is responsible for day-to-day leadership and coordination of centralized staffing functions to ensure effective workforce deployment across the health system. This role oversees Staffing Specialists and Contingent Labor Resource Specialists, ensuring consistent execution of staffing processes, prioritization of internal labor resources (e.g., core staff and IRP), and efficient utilization of contingent labor where necessary. Serving as a key operational leader within the Central Staffing Office, the Supervisor translates system-wide staffing strategy into daily execution, supports staffing decision-making, ensures data integrity, and promotes standardized workflows. This role partners closely with nursing leadership, department leaders, HR, and finance to support safe, cost-effective, and responsive staffing operations aligned with organizational goals.

What you will do

  • Direct and coordinate daily staffing operations across departments to ensure optimal coverage aligned with patient care needs; provide real-time decision support and escalation management.
  • Supervise Staffing Specialists and Contingent Labor Resource Specialists, including scheduling, performance management, coaching, and staff development.
  • Ensure consistent prioritization and optimization of core staff and Internal Resource Pool (IRP) utilization before use of contingent labor.
  • Oversee execution of contingent labor processes including vendor coordination, order management, onboarding oversight, and issue escalation.
  • Guide staff redeployment decisions across units and campuses to balance workload, staff competencies, and patient care demand.
  • Implement and enforce standardized staffing workflows, ensuring compliance with organizational policies, labor guidelines, and operational procedures.
  • Ensure accuracy and integrity of staffing, scheduling, and timekeeping data within workforce management and vendor systems.
  • Monitor staffing metrics (e.g., overtime, premium pay, agency usage) and identify trends to support operational improvements.
  • Partner with nursing and operational leaders to address staffing needs, resolve concerns, and maintain high levels of service and communication.
  • Identify operational inefficiencies and lead process improvement efforts to enhance staffing effectiveness, responsiveness, and cost management.

Qualifications:

  • 3 to 5 years' experience in healthcare staffing operations, workforce management, or related operational leadership. (required)
  • Bachelor's Degree in Business Administration, Healthcare Administration, Human Resources, Nursing, or related field. (preferred)
  • Experience with centralized staffing models or internal resource pools at a health system level (preferred)
  • Experience with contingent labor coordination (travelers, agency staff, vendor management) (preferred)
  • Experience using workforce management and scheduling systems (e.g., UKG) (preferred)
  • Strong understanding of healthcare staffing operations, scheduling processes, and workforce deployment
  • Ability to analyze staffing data and support operational decision-making
  • Demonstrated leadership skills including coaching, accountability, and team development
  • Strong organizational skills with ability to manage multiple priorities in a fast-paced environment
  • Excellent communication and interpersonal skills to collaborate with clinical and operational leaders
  • Problem-solving mindset with ability to resolve staffing challenges in real-time
  • Working knowledge of labor cost management, staffing ratios, and workforce optimization
