Job Summary:

The Surgical Coordinator is responsible for managing and scheduling all aspects of patient surgical care, from initial consultation to post-operative follow-up. This individual will serve as the primary point of contact for patients, ensuring a smooth and supportive experience throughout the surgical process. 

Key Responsibilities:

  • Schedule surgical procedures, ensuring alignment with physician availability, facility schedules, and patient preferences. 
  • Coordinate pre-operative requirements, including necessary tests, imaging, labs, and authorizations. 
  • Confirm surgery dates, times, and locations with patients, ensuring they receive all pre- and post-operative instructions. 
  • Verify patient insurance coverage and obtain prior authorizations for procedures. 
  • Provide patients with detailed cost estimates and work with them on payment plans, if applicable. 
  • Serve as the primary point of contact for patients, addressing questions and concerns regarding surgical procedures. 
  • Educate patients on pre-operative preparation and post-operative care instructions. 
  • Ensure timely follow-up appointments are scheduled for post-operative evaluations. 
  • Maintain accurate and up-to-date records in the practice management system, including patient charts, insurance details, and surgery schedules. 
  • Communicate and coordinate with hospitals, surgical centers, and other healthcare providers as needed. 
  • Ensure compliance with HIPAA and other regulatory requirements. 
  • Assess and anticipate scheduling requirements by understanding physician availability, patient needs, and facility constraints.  
  • Proactively manage conflicts, prioritize urgent cases, and ensure efficient use of resources to maintain smooth workflow and timely care. 

Requirements

Skills/Abilities:

  • Proficient in using electronic health records (EHR). 
  • Excellent communication and interpersonal skills. 
  • Knowledge of medical terminology, especially ENT-related procedures and treatments preferred.  
  • Ability to multitask and work effectively in a fast-paced environment. 

Education/Experience:

  • High School Diploma or GED 
  • Certified Medical Assistant (CMA) or Registered Medical Assistant (RMA) is preferred  
  • Basic Life Support (BLS) certification is preferred 
  • Previous experience in an ENT or specialty clinic is preferred 

Physical Requirements:

  • Prolonged periods sitting at a desk and working on a computer. 
  • Prolonged periods of standing and bending. 
  • Must be able to lift up to 15 pounds at times.
