Ensure process documentation aligns with approved PMO governance, lifecycle stages, control gates, reporting requirements, and change-control expectations.
Identify unclear, conflicting, or incomplete content and route questions to the responsible process owner for resolution.
Develop and maintain PMO standards and guidance for program and project governance, planning, scope, schedule, cost, risk, issue, change, stakeholder, reporting, and document management processes as assigned.
Create standardized templates and instructions for charters, plans, schedules, status reports, risk and issue registers, change requests, decision logs, meeting records, lessons learned, and other approved PMO artifacts.
Document governance forums, decision rights, approval requirements, roles and responsibilities, reporting cadences, escalation thresholds, and control gates.
Maintain consistency across related policies, standards, procedures, templates, process maps, and supporting materials.
Plan and facilitate structured interviews, working sessions, and document reviews with process owners and subject matter experts.
Translate complex operational, technical, financial, scheduling, and governance concepts into clear language appropriate for the intended audience.
Capture decisions, open questions, assumptions, ownership, and required follow-up during content-development sessions.
Manage draft, review, comment-resolution, approval, and publication cycles while maintaining document traceability.
Establish or refine document naming, numbering, metadata, ownership, versioning, approval, effective-date, review-date, revision-history, and archival conventions.
Maintain a controlled document register showing status, owner, approver, version, location, dependencies, and scheduled review date.
Organize approved content in the designated Microsoft 365 repository using a logical information architecture and searchable metadata.
Develop content-maintenance instructions so process owners can update controlled documents after the engagement.
Coordinate with records, security, legal, compliance, or technology stakeholders when specialized review is required.
Convert approved process maps and source information into reader-friendly procedures, diagrams, tables, checklists, and quick-reference materials.
Develop presentation, facilitator, participant, and reference materials that support rollout of approved program and PMO processes.
Create onboarding and role-based documentation packages for Program Managers, Project Managers, process owners, and PMO personnel.
Apply accessibility, readability, plain-language, and document usability practices appropriate to the approved delivery format.
Collect user feedback and document recurring questions, content defects, usability issues, and documentation gaps.
Recommend improvements to templates, documentation workflows, review cycles, publishing practices, and knowledge organization.
Transfer source files, document registers, style guidance, repository structure, open items, and maintenance responsibilities to designated PMO personnel at engagement close.
Required Qualifications
Demonstrated experience as a Technical Writer developing procedures, standards, playbooks, work instructions, job aids, templates, and governance documentation for complex organizations.
Experience documenting program management, project management, PMO, project controls, operational, engineering, construction, finance, or other cross-functional business processes.
Demonstrated ability to interview subject matter experts, facilitate content-development sessions, reconcile comments, and convert complex information into clear and usable documentation.
Strong command of document structure, plain language, editing, grammar, consistency, information design, version control, and document quality assurance.
