Treatment Coordinator

About the Role
Texas OMS is seeking a personable, detail-oriented Treatment Coordinator to serve as the vital link between our surgeons, patients, and referring offices. This role guides patients through every step of their surgical journey — from consultation through treatment completion — ensuring clarity, comfort, and confidence at each stage. Prior experience in oral surgery or dental practice is a plus but not required.

 Key Responsibilities

• Greet patients and provide concierge-level customer service in person, by phone, and electronically
• Present treatment plans to patients, explaining recommended procedures in clear, accessible terms
• Prepare and present cost estimates and financial arrangements prior to treatment
• Verify and maintain patient insurance information; explain coverage and out-of-pocket costs
• Collect patient payments and manage financial agreements
• Schedule and coordinate surgical appointments to optimize the doctor's schedule
• Communicate with referring dental and medical offices regarding patient treatment status
• Partner closely with clinical staff to ensure a seamless, coordinated patient experience
• Maintain accurate, confidential patient records in compliance with HIPAA
• Follow up with patients on pending treatment plans and outstanding balances

Qualifications

• High school diploma or equivalent required; some college preferred
• Previous experience in a dental, oral surgery, or medical office strongly preferred
• Familiarity with dental/medical terminology, CDT coding, and insurance processes a plus
• Strong communication and interpersonal skills; comfortable discussing treatment and finances with patients
• Proficiency with practice management software (e.g., Dolphin, Dentrix, Open Dental) and general computer skills
• Highly organized, detail-oriented, and able to multitask in a fast-paced environment
• A proactive, solution-oriented mindset and genuine compassion for patient care
