POSITION SUMMARY

Responsible to Manager Behavior Health for overall practice. Responsible for secretarial and clerical duties including record keeping, communications and assisting with maintaining safety and rights for clients.

MINIMUM REQUIREMENTS

Education:

  1. High School graduate.
  2. Preference will be given to applicants who have completed a Medical Secretary Program.

Experience:

  1. Experience with use of computers and word processor preferred.

Knowledge, Skills, Abilities:

  1. Good command of English language.
  2. Proficiency in spelling.
  3. Ability to type 40 words per minute with 93% accuracy.
  4. Ability to relate well to and work effectively with people in the unit, Medical Center and with outside agencies.

License/Certification/Registration:

  1. Meets the American Heart Association’s standards for Healthcare Provider Basic Life Support (BLS) and renews BLS every two years.

Receives general supervision from the Manager Behavioral Health and the Charge Nurse.

Responsibilities


ESSENTIAL FUNCTIONS

  1. Assumes receptionist responsibilities.
    1. Answers and screens telephone calls for staff and patients.
    2. Makes telephone calls to other units, agencies, physicians, and private therapists on daily basis as directed.
    3. Greets and assists visitors entering the unit.
    4. Collects and distributes patient/staff mail, patient flowers, and medical records.
    5. Assists in orienting new employees to the unit including location of supplies, forms, etc.
  2. Maintains unit books, logs, and computer software programs and files.
    1. Keeps tract of when unit policies are due for annual review on a monthly basis.
    2. Formats and files policies and procedures on Unit Personal Computer on a timely basis.
    3. Enters unit patient charges daily into the computer.
    4. Maintains file cabinet in Nurses Station for blank forms on a timely basis.
  3. Prepares final documents for Unit Personnel.
    1. Types written correspondence and reports for psychiatrists, Administrative Director, Psychiatrist Social Worker, Unit Nurse Manager, and Therapeutic Recreation Specialist, daily as generated.
    2. Types the Psychiatrist on call schedule.
  4. Assists unit personnel with clerical matters.
    1. Takes off physicians’ orders under a nurse’s supervision as needed on a daily basis. 
    2. Uses computer terminal daily to enter lab request, test requests, diets and discharges as directed by RN in charge.
    3. Informs nurse in charge of physician’s orders which require immediate attention, such as stat orders or laboratory reports.
    4. Files test report results in the medical record daily, as needed.
    5. Assists physicians in obtaining reports and charts.
    6. Ensures patient rights information such as Bill of Rights, list of legal help available, etc. is available to patients on the Patient Bulletin Board.

NON-ESSENTIAL FUNCTIONS

  1. Performs related and miscellaneous duties as assigned.
    1. Assists in the preparation and deliverance of petitions for Behavioral Health commitment hearings.
    2. Orders, receives stock and inventories unit supplies weekly and as needed.
    3. Helps provide and maintain a safe environment for patients, visitors and co-workers through observations and reporting situations of concern.
    4. Assists one other staff person to observe unit during staff meetings, treatment team meetings, in-service meetings daily as needed.
