Job Description - Administrative Support Specialist

Description

As an Administrative Support Specialist, your central role will involve streamlining office operations and providing essential support to ensure organizational efficiency. You will work closely with internal teams and external partners to maintain accurate records, manage communications, and handle administrative tasks with precision—laying the groundwork for smooth daily operations and overall company success. Please note this is a Part-Time Position.

**Part Time Position that requires onsite presence. Pay Range: $18-$20/hr.**

Do you have the following skills to excel in this role?: 

  • Excellent verbal and written communication skills with a warm, professional demeanor. 
  • Detail-oriented with excellent organizational and multitasking abilities. 
  • A proactive, “can-do” attitude with a willingness to support team members and jump into tasks as needed. 
  • Confidence in using Google Workspace (Docs, Sheets, Calendar, Gmail, Meet) and the ability to adapt quickly to new tools like CRMs and scheduling systems. 
  • Comfortable navigating Excel or Google Sheets (basic formulas, sorting/filtering data, etc.).
  • Dependable and punctual, with a strong sense of accountability. 
  • Ability to maintain confidentiality and handle sensitive information with discretion and confidentiality. 
  • Self-motivated with a proactive mindset toward improving day-to-day operations.
  • A customer-first mindset and passion for creating a positive client experience.

To be successful in this role:

  • Greet clients and guests in-person and over the phone with professionalism and warmth, ensuring a positive first impression. 
  • Serve as the first point of contact—answering calls and emails, routing messages, and assisting with inquiries promptly and courteously. 
  • Manage office supplies, keep the reception area tidy, and support general office organization and team logistics.
  • Answer phone calls and emails promptly; route messages and inquiries appropriately.
  • Schedule, confirm, and follow up on client appointments with precision and courtesy.
  • Prepare and process forms, scan and upload documents, and handle light data entry tasks. 
  • Accurately enter and update information in internal systems and follow retention and documentation protocols. 
  • Follow standard scripts and guidelines to ensure consistency and clarity in communication.
  • Assist with small internal projects, team communications, and follow-ups.
