Responsible for assisting the Campus Operations Director in the scheduling and coordinating the set-up/cleaning of the physical campus and environments especially as it pertains to general custodial aspects, major projects and tasks.
1. Perceive and capture campus needs through various channels including visual inspections, checklists, staff requests, etc.
2. Budget tracking, including project cost tracking and reconciliation with the business office.
3. Materials purchasing, inventory and usage tracking.
4. Assist the Facilities Leads in all aspects of project implementation as needed.
5. Manage service contracts, from contract creation and writing to quality control follow-up including outside rentals.
6. Record management, including regulation compliance.
7. Independently maintain and update administrative policies and processes.
8. Perform a detailed task to account for all expenses created by the Facilities Department under general supervision both verbal and written instruction and related work as requested.
9. Prepare and maintain RFP's, bid information, and other contract documents.
10. Responsible for all vendor schedules and communicating upcoming events as pertaining to each vendor.
11. Responsible for assisting the Facilities Leads.
12. Responsible for collaborating with and taking direction from the Campus Operations Director.
13. Responsible for bringing to the attention of the Facilities Leads any facility issues that may affect the physical safety and well-being of any person on any campus.

• Fulfills general administrative duties as directed by the Campus Operations Director.
• Works with staff to collaborate tasks, timeframes, milestones, resources and dependencies.
• Completes assignments with excellence, effectiveness, and efficiency.
• Required: High School graduate or above.
Preferred: Associates degree in related field or 2 or more years work experience in related field -facilities management, building maintenance, building construction, project administration, office administration
• 1-3 years administrative experience preferred.
• This position requires working knowledge Microsoft Office, Word, Excel and Outlook.
• Must have strong interpersonal skills and ability to work in a team environment
• Demonstrate ability to work and communicate professionally, verbally, and in written form with internal and external customers.
• Extensive use of computerized maintenance management systems.
• Able to learn new administrative computer programs quickly.
• Recognize and act on opportunities; adjust direction when situation warrants.
• Work independently without regular direct supervision.
Physical Requirements:
· Prolonged periods of sitting at a desk and working on a computer.
· Prolonged periods of walking back and forth between campuses.
· Must be able to lift 20 pounds at times.
