Nestled in 25 acres of beautiful gardens, Philbrook Museum of Art is a 1920s Italianate Villa featuring a dynamic and ambitious program of rotating exhibitions and galleries with selections from an actively growing collection of approximately 16,000 objects. Position Overview

The Learning Programs Assistant creates great learning experiences for visitors by supporting both teaching artists, students, and fellow staff members in an administrative and logistics role. The primary focus of the coordinator’s duties is to lead the implementation of the Stay Gold program, a series of workshops that are designed for older adults with the aim of fostering creativity and connection. In addition, the coordinator supports additional needs within the Learning team, including studio maintenance, supply ordering and organization, and communication with other departments to successfully realize each program. Administrative and interpersonal skills are central to the coordinator’s success, along with a passion for creating smooth, engaging experiences for visitors of all ages, and especially older adults. 

Essential Responsibilities

Stay Gold Program Logistics:

• Coordinate a series of four creative aging workshops per calendar year, with each workshop lasting 8-weeks long.
• With input from Curator of Learning & Interpretation, identify instructors and schedule each workshop - this includes confirming title/description, supply list, and curriculum with each workshop’s teaching artist.
• Serve as internal logistics lead for the program, including entering workshops into museum workflows, sharing information with communications so workshops are ticketed and promoted, and answering questions from staff members across the museum as they arise. 
• Assemble student class lists and ensure teaching artist has all needed information before the first session of each class.
• Attend workshop sessions, typically in the daytime on Fridays and/or Saturdays, to ensure logistics operate smoothly for instructors and students. This includes communication with the guest operations team, facilities, and event support teams
• Distribute surveys to students to gather feedback on their workshop experience. Assemble any needed statistics or reporting information to report to program funders.

Studio and Supply Preparation:

• Maintain clean and orderly studio spaces to ensure smooth transitions between programs
• Purchase and prepare workshop supplies in coordination with the teaching artist and with supervision from the Curator of Learning and Engagement.

Learning Program Support:

• Enter additional learning programs and events into museum workflows.
• Learning program support includes serving as internal lead on celebrations for Stay Gold workshop students, supporting internal lead during Camp Philbrook sessions and other family and general audience programs.
• Supporting internal leads on learning programs may include checking in on camp classrooms, administrative support with class lists and registration, and assisting during check-in with greeting, etc.

Equivalent Education/Experience

• High School Diploma or equivalent
• One year of relevant experience, such as customer service, teaching, or working with children

Knowledge/Skill/Ability

• Demonstrated ability to engage with people in a friendly and respectful way
• Comfort with creative activities and open-ended learning environments
• Ability to anticipate needs of visitors and problem solve in the moment when needed
• Exhibits an interest in learning and applying engagement strategies for visitors of all ages and motivations
• Willing to give feedback and respond constructively to performance feedback
• Must maintain reliable attendance

Schedule, Compensation & Benefits

• Tuesday - Saturday daytime, 20 - 25 hours per week
• $18/hour
• Membership
