Position Overview

We are currently looking to add a dynamic Office Coordinator to our passionate team of tree care professionals.This is a part-time, in-office position (18 – 30 hours per week) with a Monday through Friday schedule and flexible hours between 7:00 AM and 5:00 PM. The schedule may include as few as three days per week, working approximately six hours per day. The ideal candidate will be highly organized, comfortable managing a high volume of phone-based communication and experienced in administrative functions in a fast-paced environment.

Job Duties

What You’ll Do:
• Be the first point of contact and triage the needs of the clients and the office
• Field current and prospective client calls (please note: a significant portion of this role will be phone-based)
• Proposal production and contract initiation
• Process employee timesheets and assist with payroll data entry
• Maintain various databases and spreadsheets
• Order and maintain office supplies
• Invoice, manage accounts receivable, and maintain files
• Schedule appointments and coordinate service visits
• Notify clients of scheduled applications and filing of necessary paperwork

Qualifications

Skills We’re Seeking:
• Required: Minimum two years of experience in office processes and administration
• Required: Excellent phone etiquette and communication skills
• Required: Proficient in Microsoft Outlook, Word, and Excel
• Required: Prior administrative, customer service, or call center experience
• Preferred: Familiarity with CRM and SAP systems
• Ability to meet deadlines with attention to detail and accuracy
• Strong organizational skills and ability to multi-task effectively
• Comfortable working in a high-volume, client-facing environment
