Job Summary: The Part-Time Accounts Payable/Receivable & Travel Reimbursement Associate will be responsible for managing accounts payable processes, handling travel reimbursements, ensuring accurate reconciliation of financial records, providing backup support for payroll processing, and managing payments to 1099 contractors.
Job Duties/Responsibilities (List not all inclusive):
Accounts Payable:
Review and verify invoices and check requests
Sort, code, and match invoices
Set up invoices for payment and assist with processing electronic transfers and payments
Reconcile accounts payable transactions
Monitor accounts to ensure payments are up to date
Resolve invoice discrepancies and issues
Maintain vendor files and correspond with vendors
Travel Reimbursement:
Process employee travel expense reports
Verify and ensure compliance with company travel policies
Reconcile travel expenses and prepare reimbursement payments
Assist employees with travel reimbursement inquiries
Reconciliation:
Assist with monthly reconciliations of accounts
Assist in preparing and maintaining financial reports
Assist with month-end closing processes
Provide supporting documentation for audits
Backup Payroll Duties:
Assist with payroll processing as needed
Ensure accurate and timely payroll transactions
Maintain payroll records and reports
Vendor Payments
Manage and process payments to vendors including 1099 contractors
Ensure compliance with tax regulations and reporting requirements
Maintain accurate records of contractor payments
Address contractor payment inquiries and issues
Qualifications:
Excellent organizational and time management skills
High degree of accuracy and attention to detail
Strong understanding of basic bookkeeping and accounting principles
Ability to handle sensitive and confidential information
Proficiency in accounting software (i.e., Costpoint, QuickBooks, Sage)
Experienced creating and utilizing spreadsheets in Excel or Google Sheets
Proficiency with MS Office Suite (SharePoint, Word, Excel, Outlook, PowerPoint, and Visio)
Meets U.S. citizenship and work eligibility requirements for federal contractors
Education / Experience:
Associate’s degree (from an accredited college or university) in Accounting, Finance or a related field preferred
1-3 years of proven experience in AP/AR
