20 Hours per Week | Monday, Tuesday & Thursday



Evolution Wellness is a growing outpatient mental health practice in Wilmington, North Carolina. Behind every great client experience is an administrative team making sure the details are handled accurately, efficiently, and with care.



We're looking for a detail-oriented and dependable Part-Time Billing & Client Accounts Coordinator to support our billing processes, insurance-related administrative work, and client accounts.



This position is ideal for someone who enjoys solving problems, working with details, and following an issue through until it's resolved.



Position Summary


The Billing & Client Accounts Coordinator will support the financial and administrative side of our practice by assisting with claims creation, insurance-related tasks, client balances, authorizations, and other client-account responsibilities.



You'll work closely with our Care Coordination, Billing, and Leadership teams to help ensure claims are processed accurately, client accounts are addressed promptly, and important administrative tasks don't fall through the cracks.



You'll also be cross-trained in our intake and scheduling processes and provide phone coverage when needed.



What You’ll Do



  • Create and review insurance claims for submission

  • Help ensure claims are complete and accurate before submission

  • Manage and track VA authorizations and related documentation

  • Monitor outstanding client balances

  • Communicate with clients regarding outstanding balances in a professional, respectful, and solutions-focused manner

  • Process and document client payments

  • Assist clients with routine billing and account questions

  • Complete daily Medicaid eligibility verification

  • Process client medical-record requests

  • Maintain accurate documentation of billing and client-account activity

  • Follow up on outstanding administrative items until they are resolved

  • Identify recurring account, authorization, or insurance issues and bring trends to the attention of leadership

  • Work collaboratively with the Care Coordination and Billing teams

  • Provide scheduled phone coverage and assist clients with routine administrative needs

  • Serve as backup for new-client inquiries, intake coordination, and scheduling as needed

  • Assist with other billing and administrative projects as needed

Qualifications



  • High school diploma or equivalent required

  • 1–3 years of administrative, billing, medical office, insurance, customer service, or similar experience preferred

  • Strong organizational and follow-through skills

  • Strong written and verbal communication skills

  • Comfortable working with numbers and detailed information

  • Comfortable using technology and learning new systems

  • Previous healthcare, insurance, medical billing, or behavioral health experience is a plus



Schedule


This is a 20-hour-per-week, part-time position with a consistent weekly schedule:



  • Monday: 8:00 AM–12:00 PM

  • Tuesday: 8:00 AM–5:00 PM

  • Thursday: 8:00 AM–5:00 PM
