Evolution Wellness is a growing outpatient mental health practice in Wilmington, North Carolina. We’re looking for a warm, energetic, and highly organized Part-Time Client Engagement Coordinator to help prospective clients get connected with the care they need.
Position Summary
The Client Engagement Coordinator plays an important role in helping prospective clients move from their first contact with Evolution Wellness to a scheduled appointment.
This position is ideal for someone who genuinely enjoys talking with people, is comfortable picking up the phone, and doesn't give up when someone doesn't respond the first time. You’ll follow up with prospective clients, help match them with an appropriate clinician, assist with scheduling, and make sure potential clients don't fall through the cracks.
You’ll also provide scheduled phone coverage, support client re-engagement efforts, and assist with community outreach.

What You’ll Do
- Respond to and follow up with prospective clients by phone, email, text, and web inquiry
- Help prospective clients understand our services and identify an appropriate clinician
- Assist with scheduling new client appointments
- Consistently follow up with prospective clients who have not yet scheduled
- Re-engage clients and referrals who have expressed interest but have not moved forward with services
- Reach out to clients when appropriate appointment openings become available
- Help ensure new clients complete necessary steps before their first appointment
- Provide scheduled primary and backup phone coverage
- Assist established clients with routine scheduling needs when providing phone coverage
- Maintain accurate documentation of client outreach and follow-up efforts
- Track inquiries, scheduled appointments, follow-up activity, and conversion outcomes
- Assist with community outreach and marketing drops to local referral partners
- Help maintain positive relationships with community referral sources
- Work collaboratively with our Care Coordination, Billing, Clinical, and Leadership teams
- Identify opportunities to make our intake and engagement process more responsive and efficient

Qualifications
- High school diploma or equivalent required
- 1–3 years of customer service, scheduling, administrative, healthcare, sales, hospitality, or similar experience preferred
- Strong written and verbal communication skills
- Excellent organization and follow-through
- Comfortable communicating frequently by phone
- Experience in healthcare or behavioral health is a plus, but not required
