GENERAL PURPOSE: 

Under the supervision of the Police Chief, this position is an essential role for the police records division team performing a variety of customer service, data entry, and clerical tasks. This position is responsible for maintaining paper and computer files, and any associated Police Department databases. Daily duties may include, but are not limited to, processing and preserving police records and reports, compiling, analyzing, and inputting data into law enforcement databases. The Police Records Clerk is responsible for maintaining records pertaining to persons in custody, as well as monitoring persons in custody for their safety and well-being. The Police Records Clerk is expected to provide exceptional customer service when dealing with the public, village employees, and elected officials. The hourly wage for this role is $15.00. The work shifts for this are primarily weekends, holidays, and overnights, but may vary based on team and department needs. 

ESSENTIAL FUNCTIONS:

· Creates new police records, reports, logs, case files and other departmental documentation and materials

· Maintain accurate data, records and computer files associated with the Records Bureau.

· Process data entry for local and national law enforcement agencies

· Complete mandated reporting to State and Federal agencies

· Locate and copy reports for the public.

· Collect fees for reports and fines and prepare and provide receipts.

· Manage the customer service window by answering questions and providing information to the public regarding police reports, fines, and fees.

· Provide excellent customer service, communication, and distribute documents to employees and / or agencies 

· Assists the Chief and Deputy Chief with matters involving reports, fines, fees, correspondence to the public or any clerical matter.

· Maintain dispatch operations within the department and communicate with ECOM Regional Dispatch personnel.

· Performs other duties as assigned. 

Requirements

 

MINIMUM QUALIFICATIONS:

· High school diploma or GED required

· Ability to work with basic mathematical calculations

· Strong critical thinking skills and ability to problem-solve

· Ability to understand Village Ordinances and basic computer programs

· Ability to communicate with citizens, employees, management staff, and elected officials in a courteous and diplomatic manner. 

· Pass a comprehensive background check with no crimes involving moral turpitude

· Must possess ability to obtain certifications in LEADS Specialized Agency Inquiry, FOIA, Spillman or other comparable CAD system, and related software within 30 days of hire via on-the-job training

· Valid driver’s license and reliable transportation
