Job Description - Purchasing Clerk - Part-time

Purchasing Clerk

SUMMARY


The purchasing clerk is responsible for sourcing, purchasing, receiving, and delivering materials, equipment, tools, and supplies needed to support daily operations and field projects. This role ensures that job sites have the necessary resources to meet project schedules while maintaining cost control, inventory accuracy, and proper accounting documentation. The ideal candidate is highly organized, dependable, and capable of balancing office and field responsibilities. 



ESSENTIAL DUTIES AND RESPONSIBILITIES include the following:


Purchasing & Procurement



  • Source and purchase materials, tools, equipment, parts, and supplies required for company operations and projects.

  • Obtain quotes, compare pricing, and negotiate with vendors to achieve the best value.

  • Establish and maintain relationships with suppliers and service providers.

  • Monitor inventory levels and proactively replenish stock as needed.

  • Ensure purchases comply with company budgets and purchasing policies.


Job Site Support & Deliveries



  • Pick up purchased materials and deliver them to job sites or company facilities as required.

  • Coordinate timely deliveries to support project schedules and minimize downtime.

  • Verify that materials delivered to job sites match purchase orders and project requirements.

  • Maintain communication with management, field supervisors, and technicians regarding material needs and delivery status.


Shipping & Receiving



  • Receive incoming shipments and inspect materials for accuracy, quality, and damage.

  • Match packing slips and invoices to purchase orders.

  • Process outgoing shipments and coordinate freight and courier services when necessary.

  • Maintain organized receiving and storage areas.

  • Track and document inventory movements and transfers.


Receipt Processing & Accounting Support



  • Collect, organize, and submit receipts, packing slips, and vendor invoices.

  • Accurately code receipts and expenses according to company accounting procedures.

  • Assist with purchase order management and expense tracking.

  • Work closely with accounting personnel to ensure timely and accurate reconciliation of purchases.

  • Maintain procurement records and supporting documentation.


Administrative & Operational Support



  • Maintain vendor databases and procurement records.

  • Monitor open orders and follow up on delayed deliveries.

  • Identify opportunities to improve purchasing efficiency and reduce costs.

  • Support warehouse and inventory management activities as needed.

  • Perform other procurement and logistics-related duties assigned by management.



Qualifications




  • High school diploma or equivalent.

  • Prior purchasing, procurement, inventory, warehouse, or logistics experience.

  • Valid Florida driver's license with a clean driving record.

  • Must be a US Citizen

  • Proficiency with Microsoft Office, including Excel and Outlook.

  • Strong organizational skills and attention to detail.

  • Ability to lift and move materials weighing up to 50 pounds.

  • Excellent communication and problem-solving skills.



Preferred



  • Experience in construction, field services, maintenance, or trade-related environment.

  • Familiarity with accounting software and expense coding procedures.

  • Experience with inventory management systems and purchase order processing.

  • Forklift certification or warehouse experience.



HOURS: 25-29 hours per week, Monday-Friday



Work Environment


This position involves a combination of office work, warehouse activities, supplier visits, and travel to local job sites. The employee will regularly operate a company vehicle and may be required to lift, load, and transport materials and equipment.


LANGUAGE SKILLS - Must be able to read, understand and communicate in English.  Communication includes both verbal and written skills.  Must be able to communicate effectively with customer’s representatives, vendors, as well as peers, supervision and customers.


MATHEMATICAL SKILLS - Ability to perform mathematical operations using calculators or electronic spreadsheets is required. 


REASONING ABILITY - Must have the ability to make good/logical decisions.
