Job Description - Transitional Executive Systems & Coordination Support (Part-Time)

Position Summary


This is a part-time, transitional role designed to support executive effectiveness during the company’s current stabilization phase. The role focuses on systems, coordination, and selective execution, rather than traditional executive assistant responsibilities. It is developmental in nature and expected to evolve as workflows and operating systems are refined.


Work Schedule


Part-time


Approximately 20 hours per week


Hourly, with time tracking required


Primary Responsibilities


Within clearly defined boundaries, responsibilities include:


Light calendar management (adding, adjusting, organizing time blocks)


Internal coordination and follow-up on defined items


Travel planning and logistics


Technology setup and systems integration (Outlook, workflows, tools)


Participation in building and refining scheduling and workflow systems


Support of executive routines, cadence, and operating rhythms


Responsibilities Not Included


This role does not include:


Full executive assistant responsibilities


Inbox ownership or email management


Independent executive-level prioritization or decision filtering


High-volume or repetitive administrative work


Role Characteristics


Transitional and phase-aligned


Systems-oriented and coordination-focused


Developmental, with structured learning and exposure


Requires clear expectations, defined workflows, and regular alignment


Performance Review


Initial focus on onboarding and system setup (first 30 days)


Review recommended at 60–90 days, based on:


    Reliability and responsiveness within 24 hours


    Follow-through on defined tasks


    Contribution to system improvement


    Quality of coordination and communication


Growth Considerations


Scope and compensation may be revisited based on demonstrated capability, increased ownership, and expansion of responsibilities as systems mature.
