Job Summary:
The Receptionist/Secretary is the initial point of contact that warmly greets both internal and external customers with professionalism and courtesy. It efficiently coordinates information and communication systems to ensure exceptional customer service standards are consistently met.
Essential Duties and Responsibilities
- Warmly greet visitors with a smile while screening, and directing incoming patients, residents, and customers to appropriate locations within the facility.
- Offer initial assistance and information to address queries promptly.
- Assist in arranging tours by locating designated staff members as requested.
- Handle incoming interoffice and external mail efficiently.
- Assist with data entry and other administrative tasks.
- Prepare meeting agendas and reports and distribute to attendees.
- Receive and distribute flowers, newspapers, and other deliveries appropriately.
- Coordinate the receipt of medications from local pharmacies and notify the respective unit.
- Direct donated equipment and packages to the relevant departments.
- Support and uphold the facility's no-overhead paging policy by reminding staff of the policy when necessary.
- Ensure timely pickup for incoming and outgoing patients, providing reminders as needed.
- Notify the Housekeeping Department or supervisor of any areas needing attention, such as the living room or public restrooms.
- Assist in redirecting wandering residents until assistance arrives.
- Immediately report and manage patient, visitor, and staff incidents or falls.
- Maintain an alphabetical listing of all residents/patients and their assigned units and bed numbers.
- Forward mail to discharged patients or the responsible party of deceased residents.
- Participate as directed in fire response procedures.
- Keep the Reception and living room area welcoming and free of clutter.
- Stay informed about daily events and activities within the facility and the healthcare system to provide better assistance to visitors and callers.
- Maintain and organize files for consent to receive mail and update addresses for all previous residents.
- Manage patient/resident photo identification records in ECS (Electronic Charting System).

- Receive transport requests from the units and arranges transport services by provide necessary data and demographics, coordinate, and verify information with units and the transport daily.
- Perform other duties consistent with this role.
Job Requirements
- Demonstrates good organizational and time-management skills.
- Excellent communication and interpersonal skills; Medical terminology helpful.
- Empathy, patience, and a genuine desire to help others.
- Must be handle multiple priorities, manage stress and work well with others.
- Ability to work effectively as part of a multidisciplinary team.
- Computer skills required
- Must speak, read, and write the English language. Bilingual skills a plus.
Education and Experience
- Less than high school, high school diploma or GED.
- 1 year of clerical/receptionist experience desired.

Comp Range:
$16.08 - $22.15
