Job Description - Expansion Coordinator

The Clinical Psychology Ph.D. program housed within the Department of Psychology and Health Studies is undergoing a multiyear expansion to increase its capacity to train Clinical Psychologists to practice in the province. Primary Purpose: The Expansion Coordinator will be responsible for the coordination and administration of all project details in preparation for the Clinical Psychology expansion. The incumbent will coordinate and communicate the expansion project goals and timelines, while orchestrating progress as the expansion proceeds to completion. Nature of Work: The Expansion Coordinator will report directly to the Department Head of Psychology and Health Studies, and work closely with the Clinical Psychology Executive Committee, faculty, and staff on a daily basis. The incumbent will establish and maintain professional relationships with these individuals/groups and align project outcomes with the Department, College of Arts and Science, and USask strategic goals, policies, and procedures. Interaction and communication with USask senior leaders and external stakeholders is expected. This position requires a breadth of knowledge and experience in university operations and project management. The successful applicant will work collaboratively within a team as well as independently and must have the ability to work under pressure in a fast-paced environment while balancing competing deadlines. The individual must exercise sound judgement and have intermediate level project coordination skills, while demonstrating strong leadership skills such as: respectful communication; collaboration; information sharing, and professional judgement. Typical Duties or Accountabilities:
  • Coordinate the execution of a detailed project plan, identifying scope and assignment of duties for required tasks
  • Coordinate the preparation of project timeline, set deadlines, and monitor progress of all project tasks
  • Provide coordination and support to all aspects of the Clinical Psychology Expansion Project, including:
    • coordination and management of meetings
    • provide oversight for the facilities renovations and requirements
    • initiate and facilitate required equipment purchasing
    • coordinate personnel hiring,
    • coordinate course scheduling and program changes,
    • obtain necessary approvals and ensure work is aligned with USask, College of Arts and Science, and Department of Psychology and Health Studies policies and processes, working closely with the Department Head and other College of Arts and Science staff
  • Provide regular updates and communication with internal and external stakeholders
  • Identify issues that arise and communicate to the necessary leaders, team members
  • Collaborate with the Dean of Arts and Science and Finance Manager to ensure expansion project is completed within identified budget resources
  • Communicate with stakeholders to understand current realities, design future state, build commitment and ensure project plans incorporate important perspectives
  • Continue to monitor and develop the expansion strategy for 2024-2025.
Education: A Bachelor’s degree is required. A graduate degree is preferred. A combination of education and experience will be considered. Preference will be given to someone with a graduate degree in Psychology. Experience:
  • Demonstrated experience in project coordination/management is required
  • Minimum 2 years of experience working in a post-secondary or professional setting is required
  • Teaching experience within a post-secondary program is considered an asset
  • Administration and/or professional leadership roles/responsibilities is an asset
  • A good working knowledge of University policies and procedures is an asset.
Skills:
  • Demonstrated competency in the areas of strategic planning, project management, and organization.
  • Ability to prioritize and meet deadlines: effectively managing work under mutually agreed schedules and timelines is essential
  • Ability to work both independently and collaboratively; exercising personal initiative and good judgement while effectively coordinating work with colleagues and peers is essential.
  • Excellent communication skills, both written and verbal
  • Strong analytical skills; with the ability to research and effectively present information
  • Effective interpersonal skills and practiced ability to work with decision-makers to achieve solutions to unique and complex problems
  • Ability to negotiate effectively in difficult situations
  • Ability to exercise judgment, tact, diplomacy, and confidentiality
  • Ability to manage competing interests and deadlines
  • Strong attention to detail
