The Chiefs of Ontario is looking for a qualified and motivated individual for the position of Senior Health Coordinator. Under the supervision of the Director of Health the Coordinator is expected to coordinate a wide range of complex and confidential administrative and support tasks. The incumbent provides senior level expertise to the position, manages confidential and time sensitive information and serves as a primary point of contact with management.

Policy Duties and Responsibilities:
- Effective and comprehensive minute taking and preparation for meetings;
- Full meeting preparation including agendas, booking locations/ venues, catering, etc.
- Liaise with all Health Coordinators and Management.
- Communicates with employees and departments with meeting details, participation and subsequently and follow up required from specific departments.
- Maintain an effective scheduling system.
- Maintaining an effective electronic filing system.
- Booking travel and accommodations on a regular basis.
- Ensure that all financial administrative documentation (i.e. receipts, purchase orders, itineraries, contracts, etc.) are accurately provided and reported to the finance department of the Secretariat.
- Draft and edit correspondence, reports and internal office communications.
- Reviews and files incoming correspondence and responds to routine inquires; ensure follow up where necessary.
- Prepares preliminary written responses on various issues in a timely manner.
- Establishes and maintains a system for all materials relevant incoming correspondence and meeting request.
- Assist with general administrative support for the overall benefit of the organization as determined by the Chief Operating Officer or direct supervisor.
Relevant Skills:
- A post-secondary education is recommended.
- Minimum of 5 years’ experience of high level administration.
- Proven multitasking skills, working with a large department.
- Relevant work experience in combination with education will be considered.
- Past experience planning large scale meetings or gatherings. Including booking hotels, travel, meals, speakers, etc.
- General knowledge of the organization and activities of the Chiefs of Ontario and current events related to First Nations in Ontario
- Knowledge of First Nation traditions, cultures and values; understand the history and relationship between First Nations and the Crown is an asset
- Professional integrity and the ability to maintain confidentiality are essential
- Excellent communication skills, including written and verbal
- Time management, organization and planning skills
- Excellent computer skills (Microsoft Word, Excel, Outlook, Adobe Acrobat)
Successful candidate must be fully vaccinated against Covid-19 and eligible to work in Canada.
DURATION: April 2024 TO March 31, 2025, with the possibly of renewal based on available funding.
