Job Description - Supervisor of Court Operations

NOTE: Effective April 1, 2024 the salary range for this position is $86,330.00 to 127,214.00 per year.

The Ministry of the Attorney General is seeking a dedicated and dynamic individual to join our team as a Supervisor of Court Operations. This role offers the opportunity to make a significant impact on the administration of justice in our community.

The Supervisor of Court Operations plays a crucial role in ensuring the smooth and efficient functioning of our court services. This position oversees daily operations across multiple locations between two jurisdictions, manages a large team, and is instrumental in delivering high-quality services to the public. The successful candidate will have strong leadership skills, an ability to manage multiple priorities, and a commitment to maintaining the integrity of our court processes.

Please note: This essential frontline role requires your physical presence in the office. The Supervisor of Court Operations is expected to be on-site daily. Provide support seven days a week, and available for weekend on-call duty support.

You will contribute to the achievement of team goals by....

  • Leadership and Supervision: Manage a large team across five locations, providing guidance, support, and performance management.
  • Operational Oversight: Ensure the efficient operation of court services, including scheduling, resource allocation, and process improvements.
  • Team Collaboration: Work as a member of the local management team in a fast-paced, high volume area, utilizing your exceptional leadership capacity to supervise and support staff. Provide guidance and coaching as needed, monitor progress, and evaluate performance. Communicate values and expectations to promote an engaged and inclusive team environment.
  • Issue Resolution: Resolve operational and client issues to ensure that solutions comply with legislation, regulations, collective agreements, policies, and procedures.
  • Technical and Procedural Advice: Use your strong knowledge of court services to provide technical and procedural advice to staff, facilitating the enforcement of court decisions.
  • Modernization Initiatives: Monitor service quality, identify opportunities to improve processes, develop recommendations, and implement approved changes in accordance with divisional operational plans.
  • Compliance and Quality Control: Maintain high standards of service delivery and ensure compliance with all relevant policies and procedures.
  • Stakeholder Engagement: Liaise with various stakeholders, including court staff, legal professionals, and the public, to facilitate effective communication and service delivery.
  • Crisis Management: Handle on-call responsibilities, including weekends, to address any urgent issues that arise in court operations.

How do I qualify?

Leadership and Management Skills:

  • Ability to lead and motivate a large team, with a focus on development and performance improvement.
  • Demonstrated ability in guiding teams through effective communication of values, strategies, and objectives.
  • Ensuring adherence to organizational standards and achievement of operational goals.
  • Proficiency in human resources practices encompassing recruitment, training, labor relations, and performance assessment.

Technical Proficiency:

  • Capability to interpret and apply relevant collective agreements, legislation, and court policies for operational and administrative service delivery.
  • Familiarity with financial and administrative procedures for budgeting, asset management, and contracting services.

Analytical and Planning Abilities:

  • Identifying potential initiatives and contributing to business planning at divisional and regional levels.
  • Analyzing operational data, trends, and issues to suggest process enhancements.
  • Implementing approved process changes and addressing service concerns.
  • Efficiently managing court office administration within assigned areas to ensure compliance and service excellence.
  • Highly organized, able to manage multiple tasks simultaneously, and prioritize effectively.
  • Assisting in planning, coordinating, and executing contingency plans for uninterrupted court services.
  • Flexible and able to adapt to changing circumstances and demands within a high-pressure environment.

Communication and Relationship Management:

  • Superior verbal and written communication skills, with the ability to convey information clearly and effectively.
  • Providing information and guidance to legal professionals, justice participants, stakeholders, and the public.
  • Utilizing tact, discretion, and political savvy in sensitive situations.
  • Collaborating with colleagues to streamline court services.
  • Generating briefing materials and reports to support process improvements and service enhancements
