Job Description - Senior Programme Coordinator

We are looking for dynamic and dedicated Senior Programme Coordinator for our executive programmes, where you will be a key resource for admissions, planning and delivery. DTU Learn for Life is the cross-university centre developing and coordinating executive and continuing education programmes at DTU - Technical University of Denmark at the Lyngby Campus. We are a centre for a new strategic investment at DTU in relation to continuing and executive education in a unique, dynamic university environment. DTU Learn for Life is DTU's platform for all forms of future management education and specialized continuing education based on technology, sustainability, and innovation. A showcase for DTU's teaching and research, which reaches out widely to businesses, authorities, and organisations both in Denmark and in the world. At DTU Learn for Life, we promote and run programmes for specialists, managers, leaders, and C-levels to drive change in their companies and organisations as well as in society as a whole. We have our offices in a well-equipped centre on campus with an Executive auditorium, break-out meeting rooms, and a lounge - where we run classes, workshops, masterclasses, lectures, and events. We want to deliver world class continuing and executive education to the business world as well as to private and public organisations. About our executive programmes
The DTU Executive MBA , also called Master in Management of Technology (MMT), is an intensive two-year master’s programme. The DTU Executive MBA is accredited by the Danish Agency for Higher Education and Science as well as AMBA, the Association of MBAs, and we are launching the 26th cohort these weeks. Our Master in Sustainable Leadership is an innovative, accredited programme that brings academic content out of the classroom by integrating learning into real-world cases and projects. Participants will practice everything they learn in a real-life context and a key feature is the immersive learning project, spanning the 2-year programme. The Corporate Entrepreneurial Leadership programme is a time-tested and successful programme where teams of 2-5 people work on real-world innovation challenge, supported by international faculty, boasting several cases that are in operation today in many of Denmark’s leading companies. Our Board Education Programme combines solid, academic research with first-hand experience from top business executives and board experts and provides the participants with knowledge and key skills to increase leadership competencies and build a board career. Besides these four ongoing executive programmes, we have other executive programs waiting to relaunch or completely new ones in the making. Growth and business development is part of the job.  Responsibilities
As Senior Programme Coordinator at DTU Learn for Life, you will have a number of study administrative tasks and customer contact, but your main responsibility is to manage and coordinate the operation of our joint executive secretariat consisting of the coordinators supporting the programmes mentioned above and in alignment with our Operations team. You are responsible for a broad portfolio of secretarial tasks with a great deal of independent responsibility. It can be anything from contact with customers and partners, study administration, dialogue with external professors, preparation of premises, etc. It is also your responsibility to communicate information in writing and face-to-face in a good manner - both towards the participants, the programme teams as well as the coordinators in the secretariat. Your tasks are both to do the things below operationally, and to optimize and align with your colleagues across programmes and the general DTU administration.

  • Daily responsible for the executive secretariat incl. a small team of coordinators.
  • Customer service and support.
  • Study administration.
  • Secretarial tasks.
  • Contact and communication to participants and faculty.
  • Updating of courses and academic guidelines.
  • Coordination with directors, managers, and Heads of Study.
  • Develop and prepare process descriptions.
  • Take lead in the development of administrative and digital processes.

  Our expectations for the candidate:

  • Trained office assistant or other office training. You may also have an academic background with experience from secretarial or project work.
  • Good at creating an overview, planning, and prioritizing.
  • Fluency in both written and spoken English (experience of using English in writing and speaking in a professional context).
  • Experienced user of the Office suite (Outlook, Word, Excel).
  • General curiosity / knowledge of IT systems and development of digital processes
  • Experience in optimizing and developing administration.
  • It will be an advantage if you previously have worked with executive education and study administration systems.

With direct reference to the Head of Executive Education, you will work closely together with colleagues within the Executive programme teams, as well as the rest of Learn for Life and DTU. Professional qualifications 
You have an academic background – Bachelor’s or Master’s degree and a strong track record in managing complex dynamic programmes as a programme manager, coordinator or in similar project-based positions involving delivering educational or training content in academic learning environments. Experience from onboarding programme participants is strongly preferred, but other relevant experience in recruitment (e.g. marketing and sales) is also relevant. Strong command of project/programme management techniques and tools for keeping track of programme details and budgets are key professional qualifications required.  Personal qualifications
As a person, you work in a structured way with your tasks, have a sense of order and a good eye for detail. You are enterprising, like to be part of a team and can work independently with your tasks. You must be able to thrive with both routine tasks and ad hoc tasks and not be reluctant to suggest and initiate initiatives that can optimize processes. You are outgoing and have the desire to have contact with many different people.

  • Excellent coordinator and project manager.
  • The ability to create active collaboration and get others “on board”.
  • Experienced in running complicated projects, programmes, and schedules.
  • Know-how to plan well in advance.
  • Team player with a positive, constructive attitude.
  • Quick at problem solving, coming up with innovative solutions, and supporting changes and modifications in a dynamic learning environment.
  • Proactive self-starter, taking ownership of full processes from start to end to experiment and find the best path forward.
  • Active contributor to the culture of the centre.
