Key Responsibilities • Provide comprehensive administrative support to the COO. • Manage and maintain schedules, appointments, and travel arrangements. Arrange meetings, conferences, and events, including coordinating logistics, agendas, and materials. • Serve as a primary point of contact for internal and external members to screen and prioritizing communications. Cultivate and maintain positive relationships. • Draft and edit documents, letters, and emails on behalf of the COO. Organize and maintain files, records, and databases, ensuring accuracy and accessibility. • Conduct research on various topics and compile findings into reports or presentations. Maintain confidentiality and handle sensitive information with discretion. • Coordinate tasks and projects, ensuring deadlines are met and priorities are clear. Delegate tasks to appropriate team members and follow up to ensure completion. Anticipate needs and proactively address issues to support the employer's productivity. • Oversee office operations, including ordering supplies, managing inventory, and coordinating maintenance. Develop and maintain efficient filing systems and office procedures. • Coordinate project logistics. Provide research, analysis, and support as needed to facilitate project outcomes. Identify challenges and obstacles proactively, offering solutions and recommendations. Exercise sound judgment and decision-making in ambiguous or high-pressure situations. Resolve conflicts or issues with diplomacy and tact.
